🤝 Vendor Certifications Report
The Vendor Certifications Report in Ontraccr allows you to track and manage all certifications held by your vendors or subcontractors. This is essential for ensuring legal and safety compliance when working with third-party companies on your job sites.
📍 Accessing the Report
- Go to the Reports section via the sidebar.
- Click Reports again to enter the standard reporting dashboard.
- Select Vendor Certifications.
🧭 What This Report Displays
Just like the User Certifications Report, this report organizes certifications into three categories:
- Expired – Certificates that are no longer valid.
- Expiring Soon – Certificates that expire within the next 90 days.
- Active – Certificates with expiry dates beyond 90 days.
Each row contains:
- Vendor Name
- Certification Name
- Acquired Date
- Expiry Date
- Issuer
- Attached Files
- Edit Option
🧰 Key Use Cases
- General contractors who are legally responsible for subcontractors' compliance
- Project coordinators verifying that vendors are up to date before site access
- Risk management teams during audits or insurance checks
🖊️ Editing Vendor Certifications
Click the Edit icon beside any certification to:
- Update the Certification Type
- Modify Acquired Date or Expiry Date
- Change the Issuer
- Upload a new file using the Files button
- View or replace previous files
Changes are applied instantly, and updated records are reflected in the report view.
📬 Automated Reminder System
Ontraccr sends automatic reminder emails to:
- The admin
- The vendor’s contact (certificate holder)
When?
- Expiring Soon: 90-day warning
- Expired: Immediate alert
This system ensures stakeholders are notified in time to renew certifications before issues arise.
📁 Exporting & Viewing Options
- Full Screen Mode for improved navigation
- Export options:
- Excel
Use exports to share compliance records with general contractors, insurers, or government agencies.
🔍 Search Functionality
Search by:
- Vendor Name
- Certification Issuer
This enables fast filtering when verifying certificates for specific subcontractors or trade partners.
