🕒 Time Tracking Settings: Time Rounding, Manual Entry Increments & Facial Capture Recap

What This Covers

This article explains how to fine-tune how time is entered, rounded, and optionally verified via selfie capture. We’ll cover:

  1. Time rounding rules
  2. Minute increments for manual entry
  3. Facial capture during clock-ins and outs

🧭 Where to Find These Settings

All of these are found in the Web App under:

Settings > Time Tracking > Clock Settings

And for more advanced rounding:

Settings > Time Tracking > Rounding

🔄 Feature 1: Set Minute Increments for Manual Entry

What it does:

Controls which minute intervals users can select when entering time manually.

How it works:

  • Found under Settings > Time Tracking > Clock Settings
  • Options:
    • ⏱ 1-minute (default — most precise)
    • ⏱ 15-minute (only 0, 15, 30, 45 available)
    • ⏱ 30-minute (only 0 and 30 available)

Why use it:

  • Streamlines time entry
  • Reduces over-detailed input (especially useful on mobile)
  • Matches payroll rounding practices

🧮 Feature 2: Enable Time Rounding

What it does:

Automatically rounds time entries to standardized intervals for payroll and reporting consistency.

How it works:

🛠 Step-by-Step Setup

  1. Go to Settings > Time Tracking > Rounding
  2. Enable Time Rounding
  3. Choose options:

🔁 Rounding Interval:

  • 5 min
  • 10 min
  • 15 min
  • 30 min
  • 60 min

🕑 Rounding Type:

  • Overall day — Round total time only
  • Task/project — Round each entry separately (more aggressive rounding)

⚙️ Rounding Setting:

  • Automatic (rounds up/down to nearest interval)
  • Always Round Up
  • Always Round Down

🖐 Additional Rounding Options

✅ Manual Entry Rounding

  • Can apply the same rounding logic to manual entries
  • Set separately from live clock-in rounding

🎯 Rounding Policies

Create role-based rules to control rounding windows.

Example use case:

  • Workers often clock in early (e.g., 6:30 AM)
  • You create a policy that rounds all entries between 6:00 AM and 7:00 AM to 7:00 AM
  • Apply that policy to the "Field Worker" role

These policies override all other rounding settings if they apply.

📸 (Recap) Enable Facial Capture

What it does:

Takes a selfie at clock-in and clock-out using the live method.

Where it shows up:

  • Photos tab in time card review
  • Used for validation and reducing time fraud

💡 Pro Tips & Edge Cases

  • ⏲ If rounding is enabled, you can still show original times on reports via a setting in Settings > Time Tracking > Time Cards > Show Original Clock Times
  • ⚖️ Be cautious with “Always Round Down” — can lead to underpaid time
  • 🧑‍💼 Rounding policies help reduce admin overhead on repeated manual corrections
