Creating digital forms in Ontraccr is fast, flexible, and customizable. Whether you're starting from scratch or using prebuilt templates, this guide walks you through how to build or edit any form to fit your team's needs.

🚀 How to Create a New Form

Step 1: Navigate to the Forms Template Library

  1. Click on Documents → Forms in the main menu.
  2. Go to the Templates tab.

Step 2: Choose to Create or Edit

  • To create a new form → Click the ➕ Add button at the top.
  • To edit an existing form → Click the Edit button beside the form in the list. This opens the form in the form builder.

🛠 Options When Creating a New Form

1. Start from Scratch

  • Click Add
  • Type in a name for your new form
  • Choose a form type (more on this below)
  • Select a division (if applicable)
  • Configure Automatically Collected Data & Form Options settings accordingly
  • Configure Step 2: Fields, Step 3: Workflow, & Step 4: PDF Designer to be consistent with the form’s desired outcome

2. Use a Template from Ontraccr’s Library

  • Click Import from Form Library
  • Browse Ontraccr’s prebuilt templates
  • Each template includes:
    • A summary
    • Instructions for customizing
    • A sample PDF output
    • A sample workflow

🧩 Form Type and Category

Why It Matters

The form type you select affects:

  • How forms are automatically saved
  • How they appear in the system
  • Whether they support auto-numbering

Options

  • Choose from existing categories like:
    • Purchase Order (PO)
    • Work Order
    • Invoice
    • Change Order
    • Quote
    • RFI
    • Safety
    • Sub-Contract
  • Or, create your own custom type (explained in the article titled Form Types and Custom Numbering)

✅ Use PO or Invoice types if you want forms to be recognized specifically as such in Ontraccr.


✏️ Editing an Existing Form

To edit an existing form template:

  1. Click Edit next to the form in the template list.
  2. The form will open in a slider panel, where you can:
    • Change form name, type, and division
    • Customize fields (Step 2)
    • Set up workflows (Step 3)

📝 Everything is editable—even after the form has been created.


📌 Tips & Notes

  • You can build forms iteratively—start with a basic form and refine it over time.
  • When editing a form, changes will typically apply to future submissions only.
  • Use the form preview while building to see how the form will look to users.
