Build Dashboards for Individual Work Items

Ontraccr allows you to create custom dashboards within individual board cards, enabling a deep, card-specific analytics view. This is ideal for tracking metrics related to a specific job, service ticket, or task, using both board data and forms submitted to the card.


🎯 When to Use Card-Level Dashboards

Use this feature if you want to:

  • Monitor cost and productivity on a single service job or work order
  • View data aggregated from multiple forms submitted to a card
  • Build a profitability dashboard specific to a board card (e.g., time, labor, equipment, billing)

📍 How to Access the Analytics Tab on a Board Card

  1. Open a board card (e.g., from the Service Tracker board)
  2. Switch to the Analytics tab
    • If no dashboards exist yet, you’ll see a “New Dashboard” prompt
    • If dashboards exist, you can click the title to switch between them

🛠️ Creating a Dashboard Inside a Board Card

Step-by-Step:

  1. In the Analytics tab, click New Dashboard
  2. Use the edit pencil icon to name it (e.g., Profit & Loss)
  3. Click EditAdd Widget
  4. You’ll be prompted to select a report from this board card’s analytics

📊 Creating Reports for Board Cards

Before adding widgets, you must first create analytics for this board card:

  1. In the card’s Analytics tab, click Reports
  2. Click the edit pencil to name the report
  3. Choose a data source:
    • Card Data: Pulls directly from the board card fields
    • Forms: Select from any form submitted to this card
  4. Select a field (e.g., Total Labor Cost)
  5. Choose a display type (e.g., Number, Bar)
  6. Set a breakdown (optional) and date range
  7. Click Save

Once saved, this report will appear as an available widget to add to your dashboard.


🔁 Dashboard Reuse Across Cards

Once a dashboard is created in a board card:

  • It becomes available across all cards in that board
  • You only need to build it once per board
  • Each card will show its own data, using the same layout

Example:

  • Create a “Profit & Loss” dashboard in Card A
  • View the same dashboard (populated with Card B’s data) when opening Card B

⚠️ Limitations

  • Card dashboards are specific to the board. A dashboard built in “Service Tracker” will not appear in “Estimating” or “PO Tracker”
  • Analytics must be created within the board card—not imported from the main Analytics page

🧠 Use Case Example: Field Dispatch Job Tracking

  1. A tech is dispatched via Field Schedule
  2. They submit multiple forms (Work Orders, TNM, etc.)
  3. Forms push totals into the board card via workflows
  4. The dashboard inside the card aggregates:
    • Total hours
    • Material cost
    • Equipment cost
    • Billed amounts
  5. Result: A live profitability view for a single job
