The Cost Code Billing Report in Ontraccr helps you understand the billable value, actual cost, and profit margin associated with each cost code used on your projects. It compares what you're charging clients versus what the work actually cost, making it an essential tool for billing oversight and project profitability tracking.


📍 Accessing the Report

  1. Go to the Reports section via the sidebar.
  2. Click Reports again to load the main hub.
  3. Select Cost Code Billing from the list of standard reports.

🧭 What This Report Displays

Each project includes a breakdown of all its associated cost codes. Data is split into two main views:

  • Project-Level Summary:
    • Project Name
    • Billing Total
    • Cost Total
    • Profit Total
  • Cost Code-Level Detail:
    • Cost Code Number
    • Cost Code Name
    • Category (Labor, Material, Overhead)
    • Billed Hours and Billed Days
    • Billed Amount
    • Cost Hours and Cost Days
    • Cost Amount
    • Profit

You’ll also find a Global Codes section at the bottom (rarely used; most activity is project-specific).


🧮 How Values Are Calculated

  • Billing Amounts: Based on the billing rate set on each cost code (hourly or daily).
  • Cost Amounts:
    • If employee wages are configured → cost = wage × hours.
    • If a cost code has a predefined cost rate → cost is derived from that.
  • Profit = Billed Amount − Cost Amount

🔍 Filtering & Searching

Date Range: Filter by pay period, preset ranges, or custom date range.

Project Search: Use the search bar to find a specific project.

⚠️ You can search by project, but not by cost code.


📁 Exporting Options

To share or analyze this report outside Ontraccr:

  • Click the three-dot icon (top-right)
  • Choose from:
    • Export to Excel
    • Export to PDF
    • Export by Project (PDF) — grouped format by project

🧠 Use Cases

  • Invoicing checks: Ensure billing aligns with tracked hours and cost codes.
  • Job costing analysis: Identify which tasks (cost codes) are most or least profitable.
  • Audit prep: Share a full breakdown of hours billed versus actual internal costs.

📌 Pro Tips

  • Set both employee wages and billing rates to get accurate margin data.
  • Use this report to identify underperforming cost codes or budget leakage.
  • Save filtered versions if you're regularly reviewing profitability by phase, division, or date range.
