Overview

Cards are the core building blocks of a board — each card represents a project, lead, job, candidate, or any other item you’re tracking. You can create cards manually or automatically using forms and workflows. This article walks you through both.


🎯 When to Create Cards

Cards are used to:

  • Represent a job, lead, purchase request, employee, material, or project
  • Track progress across statuses on a board
  • Store relevant information in a structured form (custom per board)
  • Assign ownership and next steps

🧩 How to Create a Card Manually

  1. Open the board where you want to add a card.
  2. Click the Add Card➕ button at the top of the status columns
  3. Fill in the card fields:
    • Title (required)
    • Assigned Users (optional)
    • Status (column where the card will be added)
    • Color (optional for visual grouping)
    • Linked Items (optional — link to a project, user, client, equipment, or material)
  4. Click Save and then Submit.

✅ The new card will now appear in the selected status column on your board.


🔄 How to Create Cards Automatically

Cards can also be created through:

  • Form submissions (e.g., job applications, service requests)
  • Workflows triggered by events (e.g., when a project, client, user, material, or equipment is created)

To enable these:

  1. Go to Board Settings > Workflows
  2. Add a workflow like:
    • “Create card when a user is created”
    • “Create card when a customer is created”
    • “Create card when equipment is added”
  3. Define the card’s default status, color, and field mappings.
  4. Save the workflow.

Now, cards will auto-generate whenever the trigger occurs.


📝 Example Use Cases

  • A form submission for a new purchase request creates a card in the PO Tracker Board.
  • A new project created in Ontraccr triggers a card in the Project Tracker Board.
  • A job applicant fills out a form and a card is created in the Recruiting Board.

🧠 Tips & Edge Cases

  • You can customize card fields per board using card design templates
  • Title is always required, but all other fields are optional (unless customized)
  • Use linking to connect a card to relevant records (like equipment or clients)
  • Assign users to ensure clear ownership and automated notifications
