Form Options in Ontraccr give you control over how forms behave after submission. Whether you're allowing users to update forms, restart workflows, or hand off tasks to others, these settings are key to unlocking dynamic workflows.

This guide explains each option in detail, with use cases, setup steps, and tips.


🧰 Where to Find Form Options

  • Go to Documents → Forms → Templates
  • Create or edit a form
  • In Step 1: Details, scroll to the “Form Options” section

🔁 Allow Edit

📌 What it does:

Lets authorized users edit a submitted form.

⚙️ Requirements:

  • The user must have the “Manage Forms” permission in their role profile
  • Form must have this checkbox enabled

📥 What happens:

  • User can click Edit on the form after it’s been submitted
  • Make changes → Save
  • ❗ Does not re-trigger the workflow or emails - only updates the data

🧠 Use Cases:

  • Fixing typos or minor mistakes
  • Adding notes without restarting approvals

🔄 Allow Resubmission

📌 What it does:

Allows users to resubmit a form and re-trigger the workflow (approvals, emails, etc.)

⚙️ Requirements:

  • Same as Edit: “Manage Forms” permission
  • Checkbox for “Allow Resubmission” must be enabled

📥 What happens:

  • Users open a submitted form and click Resubmit → Make changes → Choose to Resubmit
  • Entire workflow restarts

🧠 Use Cases:

  • Updating and re-sending quotes/estimates to customers
  • Changing form ownership after a dispatching error
  • Customer requests updates on change orders

🔀 If both Edit and Resubmit are enabled:

Users will be prompted to choose between just editing or fully resubmitting with edits.


👥 Allow Reassignment

📌 What it does:

Lets a user in the middle of filling a form reassign it to someone else

📥 What happens:

  • User clicks Reassign
  • Picks another user (or set of users)
  • The selected person sees the form with all prior data and can continue filling it

🧠 Use Cases:

  • A worker starts a site inspection but has to leave
  • Shift changes mid-form
  • Seamless handoff without losing data

🔗 Allow Child Form Submission (Advanced)

📌 What it does:

Allows this form to be treated as a parent form and receive data from child forms

🧠 Use Cases:

  • Weekly Job Summary (Parent) → auto-populates with Daily Forms (Children)
  • One form triggers another, and responses feed back into the original

📥 Set Up:

  • Check this box in Step 1
  • Set up field and workflow mapping in Steps 2 & 3

🌐 External Form

📌 What it does:

Makes the form available to non-Ontraccr users via a public link


ℹ️ Show Info Bar

📌 What it does:

Displays a top banner in the mobile app showing which form triggered this one (with timeline)

🧠 Use Cases:

  • Give field teams context on where a form originated
  • Helpful in multi-step workflows (e.g., form assigned after a site incident)

🧾 Assigned Form Display Settings

📌 What it does:

Choose specific fields to show in the Assigned and Approval logs without opening the form

🧠 Use Cases:

  • Let managers see project names, billing info, etc. directly in the log
  • Saves clicks and improves visibility

📌 Tips

  • All form options can be toggled on or off anytime
  • Combine options for richer workflows:
    • E.g. Edit + Resubmit = field team agility
