📦 Materials in the Mobile App (Advanced): Search, Filter, Add & Track Inventory

🧭 Introduction

The Materials section in the Ontraccr mobile app lets users with the correct permissions view, filter, search, and create new materials, along with optional inventory tracking, supplier details, and pricing.

This guide covers everything from navigating the material list to setting thresholds and locations — based strictly on how the mobile app works.

📍 Where to Find It

Tap “More” in the bottom navigation bar

Tap “Materials”

(Only visible to roles with the correct web-based permissions)

📁 What You See in the Materials Page

  • A replica of the web-based material structure (folders, types, details)
  • The full material database, subject to permissions
  • A filter and search bar for easy navigation

🔍 Filter by Type

  1. Tap the filter icon (top-left)
  2. Choose whether to show:
    • Material
    • Assembly
  3. Tap Save (top-right) to apply

This filters the list to show only the selected material types.

🔎 Search for a Material

  1. Tap the search bar
  2. Type a keyword (e.g., "gravel" or "concrete")
  3. Results pull from all folders, not just the one you're in

This universal search makes it fast to locate any material without navigating folders.

➕ Add a New Material

Tap the plus icon (top-right) to start a new material profile.

🟥 Required Fields:

  • Name
  • Part Number (enter “N/A” if unknown)
  • Division (pre-selected if only one exists)
  • Description (can duplicate name if needed)

🟨 Optional Fields:

  • Supplier
  • Material Cost, Markup, and Price
  • Labor Cost, Markup, and Price
  • Unit:
    • Select from preset options (e.g., m², ft, roll)
    • Or create a custom unit (e.g., “per crate”)
  • Cost Code:
    • Choose from global list
  • Inventory Tracking:
    • Total Quantity
    • Quantity Allocated
    • Quantity Available
    • Threshold (e.g., “Warn me if under 50”)
    • Location Assignment (e.g., “75 at Warehouse A”)

Tap Save (top-right) when done.

📝 Inventory Management Features

You can track:

  • Total Quantity: How many units exist overall
  • Allocated Quantity: Units already assigned elsewhere
  • Available Quantity: What’s still usable
  • Threshold: Triggers warnings or reorder emails when low
  • Location: Assign specific stock counts to locations

📌 These values are optional but enable material tracking if entered.

✏️ Edit an Existing Material

  1. Tap a material to view its profile
  2. Tap the pencil icon (top-right) to open edit mode
  3. Update any field (same options as during creation)
  4. Tap Save

Changes update across the entire org.

🧰 Example Workflow

You’re on-site and need to track a new material:

  1. Tap Materials > +
  2. Enter “4" PVC Pipe”, part number “VP-04”
  3. Select supplier and unit (custom = “bundle”)
  4. Set cost as $5.00, add labor install cost $1.00
  5. Set quantity = 100, threshold = 25
  6. Assign 75 to “Warehouse A”
  7. Tap Save

Now it appears in your materials list, and team members will be warned if stock drops too low.

Outcome

With the advanced Materials workflow on mobile, users can:

  • Instantly search and filter materials in the field
  • Create fully detailed records for new materials
  • Track inventory levels and receive reorder alerts
  • Assign stock to physical locations — all from their phone
