Building and Managing a Gantt Chart Inside a Project in Ontraccr

📅🛤️ Building and Managing a Gantt Chart Inside a Project in Ontraccr Overview

Need a clear timeline view of your project?

The Gantt tab inside each project lets you build a project-specific Gantt chart, giving you a visual schedule of tasks, timelines, and dependencies — without needing any external tools!

🎯 Why Use the Project Gantt Chart?

  • Visualize your full project timeline clearly.
  • Break projects down into tasks and phases.
  • Manage dependencies (what needs to finish before something else starts).
  • Track progress visually as work moves forward.
  • Export or update schedules easily.

🛠️ How to Build a Gantt Chart Inside a Project

➕ Create a New Gantt Chart

Inside the Gantt tab:

  • Click New.
  • Choose either:
    • Add Task (create tasks manually one-by-one)
    • Import Tasks (upload a Microsoft Gantt file)

✅ Perfect for both small and large project setups!

📝 Adding Tasks Manually

When you Add Task, fill in:

  • Task Name (e.g., "Foundation Pouring")
  • Start Date
  • End Date
  • (Optional) Assign a Responsible User
  • (Optional) Link to Dependencies (other tasks that must be completed first)

✅ Tasks are automatically laid out on the Gantt timeline!

📥 Importing a Gantt File

  • Upload a Microsoft Gantt (.xml) file.
  • Ontraccr will map and create tasks based on your upload.

✅ Great for clients who prepare schedules in external tools and want to bring them into Ontraccr.

📈 What You See in the Gantt Tab

  • Task Bars showing timelines from Start to End.
  • Color Coding based on Status (e.g., Not Started, In Progress, Completed).
  • Dependencies shown with lines/arrows.
  • Zoom Controls (view by Days, Weeks, or Months).

✅ A full, clean visual project schedule!

🛠️ Managing the Gantt Chart

  • Drag and Drop Tasks:
    • Move tasks along the timeline to adjust Start or End dates.
  • Edit Tasks:
    • Click a task to edit Name, Dates, Responsible Users, and Links.
  • Zoom In/Out:
    • Focus tightly on short periods or zoom out for long-term views.
  • Highlight Critical Paths (if enabled):
    • See tasks that directly affect the final project completion date.

✅ Stay flexible while keeping project timing under control!

🧠 Tips & Edge Cases

Use Dependencies Carefully:

Link tasks logically (e.g., "Excavation" must finish before "Foundation Pouring" starts).

Gantt is Project-Specific:

The Gantt chart you build here is only for this project — it doesn’t affect company-wide schedules.

Schedule in Main Gantt Too (Optional):

You can also manage a consolidated Gantt across all projects from the Scheduling > Gantt view.

Import for Speed:

If schedules are already prepared externally, uploading saves a lot of setup time.

✅ Example Scenario

You’re managing a school renovation project:

  • Add tasks like "Demolition," "Electrical Rough-In," "Framing," "Drywall," and "Final Inspections."
  • Set start/end dates based on your project plan.
  • Link dependencies (e.g., "Drywall" can't start until "Electrical" is complete).
  • As work progresses, you update statuses — instantly seeing if you're ahead or behind.

All managed visually inside the project!

🚀 Summary

The Gantt Tab in Ontraccr gives you a visual, easy-to-manage schedule directly inside each project — helping you plan, track, and deliver projects on time and on target.
