Assigning users to cards is a simple but powerful feature that adds accountability, enables notifications, and allows for filtered views of work. Whether you're assigning a project manager, estimator, HR reviewer, or technician, Ontraccr makes this easy.


🎯 Why Assign Users?

Assigning a user to a card allows you to:

  • Delegate ownership of a task, project, lead, or request
  • Ensure the right person is responsible for moving the card through statuses
  • Trigger email notifications on updates or changes
  • Filter boards by who is assigned to what
  • Automatically assign tasks or forms through automations

🧩 How to Assign a User to a Card

  1. Open a board and create or edit a card.
  2. Locate the “Assigned Users” field near the top.
  3. Click into the field and select one or more users from your organization.
  4. Save and submit the card.

✅ The user is now officially assigned and will appear on the card.


📣 Email Notifications (Optional)

You can enable email alerts when:

  • A card’s status changes
  • A card’s details are updated
  • The card’s assigned user is changed

These are configured in Board Settings > Details, using the checkboxes for each option.


🔄 Auto-Assigning Users via Automations

In task automation workflows, you can auto-assign a task to:

  • A specific user (e.g., always assign to “Mark Messier”)
  • The same user assigned to the card (via “Auto-assign from card user”)
