🕒 Time Tracking Settings: Service Jobs, Union Tracking & Facial Capture

What This Covers

This article explains three optional features in Ontraccr's Clock Settings:

  1. Service Job Tracking – Let workers log time to jobs that aren’t pre-created in the system
  2. Union & Work Classification Tracking – Required for unionized companies
  3. Facial Capture – Snap a photo at clock-in/out to reduce time theft

🧭 Where to Find These Settings

  1. Log in to the Web App
  2. Go to Settings > Time Tracking > Clock Settings
  3. Scroll to:
    • Enable Service Jobs
    • Enable Union Local Selection
    • Enable Work Classification Selection
    • Enable Facial Capture

🛠️ Feature 1: Enable Service Jobs

What it does:

Allows mobile users to clock into custom, ad-hoc jobs that aren’t already in Ontraccr.

How it works:

  • Adds a “Service Job?” toggle to the mobile clock-in screen
  • Workers can type:
    • Job address or name
    • A short description of the work
  • Clock-in logs the time to this newly created "service job"

Use case examples:

  • Weekend/emergency work that wasn’t scheduled in advance
  • Solo techs handling reactive service calls
  • Small teams working on-site without office coordination

Reporting:

Use the Service Job Summary Report to track these entries separately

👷 Feature 2: Union & Work Classification Tracking

What it does:

Lets you track which union local and work classification each employee belongs to.

Only needed if:

You’re a unionized company that must track/report by local and classification.

How it works:

  1. Enable both:
    • ✅ Enable Union Local Selection
    • ✅ Enable Work Classification Selection
  2. Go to Settings > Unions to create:
    • Union locals
    • Associated classifications
  3. Assign union info to each user via Staff > Manage Users
  4. Once set up:
    • Union info can be selected during clock-in or manual entry

📸 Feature 3: Enable Facial Capture

What it does:

Forces users to take a selfie when clocking in and out (live method only).

How it works:

  • If enabled, the camera launches automatically at clock-in/out
  • User must snap a photo to complete the action

Why it's useful:

  • Helps prevent “buddy punching” or time fraud
  • Verifies that the person logging time matches the account

Where it shows up:

  • Photos are attached to the time card
  • View them in the Photos tab of any time card entry

💡 Pro Tips & Edge Cases

  • 🧰 Service Jobs are only available via mobile clock-in
  • 🧑‍🏭 Union features should remain disabled for non-union companies
  • 🤳 Facial Capture only applies to live time tracking — not manual entry
