This article introduces the Field Schedule in Ontraccr: what it’s for, how to access it, and how to navigate its core layout and tools.


🚀 What Is the Field Schedule?

The Field Schedule is used to plan and manage labor shifts across your company.

It’s ideal for short-term, day-to-day or week-to-week scheduling needs.

Typical uses:

  • Assigning work to employees
  • Scheduling repeat shifts or milestones
  • Attaching job documents to shifts
  • Keeping your field team informed and accountable

📌 The Field Schedule is separate from the Gantt Schedule, which is used for long-term project forecasting.


🔓 How to Access the Field Schedule

  1. Go to the left-hand navigation menu.
  2. Click on Scheduling.
  3. Then select Field Schedule from the two available options (the other is Gantt Schedule).

🧭 Navigation Overview

When you open the Field Schedule, here’s what you’ll see and how to use it:

🖥️ Default View

  • The Field Schedule typically opens in Week View, showing a company-wide calendar of scheduled shifts.

🔽 Left Sidebar: Unassigned Shift Queue

  • Located behind a small arrow with a line on the far left.
  • Displays shifts not yet assigned to any users.
  • These can be:
    • Created from boards
    • Created from forms
    • Manually entered with no assigned users

🛠️ How to assign an unassigned shift:

Click and drag it from the sidebar onto the calendar and drop it under a specific user’s timeline.


🔍 Search Bar

  • Located at the top of the schedule.
  • Allows keyword search of shift titles only (e.g., typing “shift” will filter all shifts containing “shift” in the title).

🎛️ Filter Button

Use filters to refine what you see in the schedule.

Available filters:

  • Title (text match)
  • Users (single or multi-select)
  • Divisions (if your company has more than one)
  • Teams

💡 You can save filters as named views:

  • Click Create & Apply
  • Name the filter (e.g., “Division A View”)
  • Reuse it anytime

🔁 All views support drag-and-drop from Unassigned Shifts.


📆 Date Navigation

  • Use left/right arrows to move between timeframes.
  • Click the date range to select a custom date.
  • Use the “Today” shortcut to return to the current day.

🔍 Zoom In/Out

  • Click the + / – magnifying glass to zoom.
  • Ranges from 25% to 200%.
  • Helps you fit more shifts onscreen or focus on details.

🧠 Tip: Use Views + Filters Together

For example, combine the User Weekdays view with a filter for a single division to see one team’s full week at a glance.
