How to Configure Time Card Exports, Summary Reports, and Rounding Rules in Ontraccr

📤 Time Tracking Settings: Exports, Summary Export & Rounding

What This Covers

This article explains how to:

  1. Build custom time tracking exports
  2. Generate summary exports (multi-signature compatible)
  3. Configure rounding rules for both live and manual time entries

🧭 Where to Find These Settings

In the Web App, go to:

  • Settings > Time Tracking > Exports
  • Settings > Time Tracking > Summary Export
  • Settings > Time Tracking > Rounding

📁 Feature 1: Custom Time Card Exports

What it does:

Lets you create tailored export formats to match your accounting software or payroll provider requirements.

How to use it:

  1. Go to Exports
  2. Click ➕ Add to create a new export or click Edit to modify an existing one
  3. Choose:
    • Columns to include
    • Data source mappings
    • Optional settings:
      • Approved hours only
      • Summarize by employee
      • Summarize by day
      • Batch number
      • Line numbers

Use cases:

  • Export data for QuickBooks, Sage, Eclipse, etc.
  • Match layout and formatting used by your accountant

Supports custom fields:

All time card custom fields (by division) are available as export columns.

📄 Feature 2: Summary Export

What it does:

Creates a high-level export that summarizes time data across divisions — supports multi-signature workflows from forms.

When to use it:

  • When forms require multiple signature blocks (e.g., supervisor + manager)
  • When you want a clean overview of time entries across a company or site

Tip:

Best used with companies using Forms with Time Entry Tables + Create Time Entry Workflow Block

Feature 3: Rounding Settings

What it does:

Automatically rounds recorded time to clean intervals for payroll/reporting.

🛠 Setup Steps:

  1. Go to Rounding
  2. Enable Time Rounding
  3. Choose your preferences:

🕒 Rounding Interval:

  • 5 min
  • 10 min
  • 15 min
  • 30 min
  • 60 min

🔁 Rounding Type:

  • Overall Day — rounds total daily hours
  • Task Time — rounds each individual entry

⚙️ Rounding Behavior:

  • Automatic (round up/down to nearest interval)
  • Always Round Up
  • Always Round Down

✍️ Manual Entry Rounding

If enabled, you can apply separate rounding logic to manual entries:

  • Choose interval and behavior (same options as above)

🧩 Rounding Policies (Advanced)

What it does:

Creates role-based rounding rules for clock-in/out.

How it works:

  1. Click ➕ Add Rounding Policy
  2. Name your policy (e.g., “Early Clock-In Policy”)
  3. Choose which roles it applies to
  4. Set clock-in or clock-out windows (e.g., 6:00 AM–7:00 AM → round to 7:00 AM)
  5. Submit to activate

Hierarchy:

Policies override global rounding settings if both are active.

Use case example:

  • Field workers often arrive early and clock in before their shift. You can round any entry from 6–7 AM to 7:00 AM automatically.

💡 Pro Tips & Edge Cases

  • 🕵️‍♀️ Use Show Original Clock Times (in Time Card settings) to view pre-rounded times on reports
  • ⚠️ Avoid “Round Down” if it might cause underpaying
  • 🛠 Rounding Policies eliminate the need for manual time edits in common scenarios
