🧭 Introduction

Ontraccr allows companies to automatically trigger form submissions during Clock-Out on the mobile app — a powerful way to ensure workers complete required documentation before ending their shift.

This guide explains how form triggers work, what they look like for mobile users, and how the queue is handled if multiple forms are triggered at once.


🔐 Prerequisites

Form triggers are configured in the Web App:

Web App Path:

Documents → Forms → Templates → Click on Desired Form → Navigate to Step 3: Workflow → Select 'On Clock Out' in the 'Triggers' block → Click Gear Icon to Configure Behavior

In the following block called ‘Assigned Users’:

  • Select which users/roles/teams will receive this form trigger on clock out
  • Note: If you would like to set this form’s submission to be mandatory on clock out, in the ‘Triggers’ block above, click the gear icon, and select the Enable Mandatory Form Submission setting

📱 What Happens on Clock-Out

When a user taps Clock Out on mobile:

  1. If form triggers are configured, one or more forms will automatically open
  2. These forms must be completed before the clock-out process is finalized
  3. Once submitted:
    • The next form in the queue opens (if applicable)
    • This continues until all triggered forms are filled

Example:

After clocking out, the user immediately sees:

✅ A Toolbox Talk form

✅ A Daily Log form

Both were triggered by the clock-out event and appeared in sequence.

📌 Forms appear instantly and in order. Users fill one, hit submit, then are taken to the next automatically.

🔄 Form Queue Behavior

  • If multiple forms are triggered:
    • They open in the order defined in the web app
    • A user cannot skip or dismiss forms in the queue if the mandatory submission setting is enabled.
  • Forms are only triggered once per Clock-Out
  • After all are submitted, the user returns to the Time Clock screen

⚠️ User Experience Tips

  • Users should expect to fill forms after clock-out if this feature is enabled
  • If clock-out is delayed, it may be due to pending form submissions
  • Encourage field staff to complete all triggered forms promptly
