📱 Mobile App Functionality for Equipment
📘 Overview
The Ontraccr mobile app offers robust functionality for managing and interacting with equipment in the field. From scanning QR codes to launching forms, checking in assets, and completing tasks, the mobile experience ensures your team stays connected and productive on the go.
This article summarizes all equipment-related features available in the mobile app, and what’s different compared to the web version.

📲 Accessing Equipment on Mobile
Ways to access equipment profiles:
- Scan a QR Code
- Tap the camera icon in the app
- Scan the equipment’s QR code
- Tap the yellow “Click to Open” prompt
- Manual Navigation
- Browse or search for equipment from within the Equipment module (if enabled for your role)
🧱 Tabs Available in Equipment Profiles (Mobile)
Once inside an equipment profile, these tabs are available:
Tab | Description |
---|---|
Info | View standard fields and custom data |
Labels | See all tags applied to the equipment |
Check-In | Assign equipment to a project or location |
Files | View uploaded manuals, documents, etc. |
Tasks | View, update, or complete assigned tasks |
Notes | Add permanent, non-deletable notes |
Forms | Launch mapped forms directly from the profile |
❌ The Timeline tab is not available on mobile. This audit trail is web-only.
✅ Equipment Check-In via Mobile
You can check in equipment to a project or location directly from the mobile app.
To check in:
- Go to the Check-In tab
- Select a project or enter a custom location
- Tap Check In
- A timer starts to track how long the equipment remains in use
🔁 Switching or Checking Out
- Tap the black timer box again
- Choose:
- Switch — Move the equipment to another job
- Check Out — End the session entirely
Check-in/check-out updates are tracked in the Timeline (web only).
📑 Launching Forms
Mapped forms can be launched directly:
- Tap the form icon at the top-right of the profile
- Choose a mapped form and tap Continue
- Form opens with the equipment pre-filled
- Custom fields can auto-fill into the form if mappings exist
📷 Using QR Scan in Forms
- In any form with an Equipment dropdown, tap the camera icon beside the field
- Scan the equipment’s QR code
- The dropdown auto-fills with that equipment
🔧 You do not need to launch the form from the equipment profile to use this feature.
🧠 Use Case Example
Scenario: A technician needs to inspect a trencher on-site.
- Opens the Ontraccr app
- Scans the QR code on the trencher
- Views the profile
- Checks it into the job site
- Launches the
Inspection Checklist
form - Completes and submits the form—all within a few taps
