This article explains how to use GPS tracking features in Ontraccr’s Time Tracking system, including:

  • Enabling location tracking globally
  • Active vs passive geofencing
  • Clock-in and clock-out boundaries
  • Time card location stamps

🧭 Where to Find These Settings

In the Web App:

  1. Navigate to Settings > Time Tracking > GPS Location
  2. You’ll find:
    • ✅ GPS Tracking toggle (global on/off)
    • ✅ Enable Clock-In Geofencing
    • ✅ Enable Passive Clock-In Geofencing Mode
    • ✅ Enable Clock-Out Geofencing
    • ✅ Enable Location Stamps

🌍 Global GPS Tracking Toggle

What it does:

Turns GPS location tracking on or off platform-wide for time tracking.

  • Toggle is located at the top-right of the GPS Location page
  • If off, all geofencing features and location stamps are disabled

📌 Clock-In Geofencing

What it does:

Restricts workers from clocking into a project unless they are physically at the job site (within a geofence).

How it works:

  • Requires a geofence radius to be set for each project
  • Common ranges: 50 meters and up
  • Worker must be inside the radius to clock in

Use Case:

Prevents users from clocking in from home or while commuting.


🧭 Passive Clock-In Geofencing Mode

What it does:

Allows workers to clock in outside of a geofence — but the system will flag it.

How it works:

  • Workers can clock in from anywhere
  • Time card is flagged with a red asterisk
  • Approvers see a GPS map of the clock-in location
  • Helps identify potential time theft, without blocking clock-ins

Why it's useful:

  • Less disruptive than strict blocking
  • Still gives visibility and oversight

📌 Clock-Out Geofencing

What it does:

Requires workers to be within the geofence to clock out.

How it works:

  • Same logic as clock-in geofencing
  • If the worker leaves the site without clocking out:
    • They must notify a supervisor or admin to do it for them
    • Or use passive mode to allow flexible clock-out with flagging

📍 Enable Location Stamps

What it does:

Captures and stores a GPS snapshot at clock-in and clock-out.

Where it shows up:

  • In each time card under the Entries tab
  • Map view shows:
    • The actual clock-in/out location
    • The assigned project location
    • Visual comparison for geofence breaches

Why use it:

Gives approvers a map-based validation of where time was tracked — even if no geofence was in place.


💡 Pro Tips & Edge Cases

  • 🚧 Geofencing only works if project addresses are accurate
  • ⚙️ You can enable both active and passive modes simultaneously (clock-in + clock-out)
  • 📱 GPS tracking only applies to live time tracking methods (not manual entry or forms)
