📄 Action Center Customization: Control Which Roles See Form Shortcuts on Mobile

The Action Center Customization settings allow admins to control which roles can see forms and form submissions in the Action Center—Ontraccr’s mobile and tablet dashboard. This ensures users see only what’s relevant and reduces clutter for field teams.

📱 What Is the Action Center?

The Action Center is a mobile/tablet-specific interface that acts as a launchpad for:

  • Clock in/out
  • Forms
  • Assigned tasks
  • Daily reports
  • Key shortcuts

It’s designed to streamline user access on field devices.

🎛️ What Can You Customize?

In Settings → Customization → Action Center, admins can toggle:

ToggleWhat It Controls
FormsWhether the user sees the “Forms” shortcut
Form SubmissionsWhether the user sees the “Submitted Forms” shortcut
View Manual FormsWhether users can access all favorited/assigned forms directly from Action Center

✅ These settings do not affect form access rights—just the visibility of shortcuts on the Action Center.

🔐 Key Clarification

  • Even if a user can’t see the shortcut in the Action Center, they can still:
    • Go to More → Forms to view assigned or submitted forms
    • Launch forms if they’re favorited or triggered (e.g., via Clock In)

These settings control interface visibility, not permissions.

🛠 How to Update Forms Visibility in the Action Center

  1. Go to Settings → Action Center
  2. Select the role you want to edit (e.g., Field Worker, Site Admin)
  3. Toggle the following:
    • Forms
    • Form Submissions
    • View Manual Forms

✅ Repeat for each role as needed.

🧠 Use Case Examples

RoleAction Center Access
Field WorkerForms + Form Submissions only
SubcontractorForms only (no submission history)
AdminAll shortcuts enabled
Guest UserNo Action Center access at all (use browser)

💡 Best Practices

  • 📱 Keep it minimal for field users to avoid distraction
  • ✅ Enable View Manual Forms for users who rely on favorites
  • 🧩 Combine this with the Assigned Users Block for tight workflow control
  • 🔒 Disable shortcuts for roles with view-only or limited access to reduce confusion
