📊 Staff Timesheets Report
 

The Staff Timesheets Report provides a detailed, day-by-day breakdown of employee work hours by project and cost code. Unlike the Employee Payroll Report, which offers a summarized view for payroll processing, this report is ideal for timesheet verification, daily performance tracking, and project-level time auditing.


📍 Accessing the Report

  1. From the left sidebar, click Reports.
  2. Select Reports again to open the standard reporting page.
  3. Choose Staff Timesheets from the list.

🧭 What This Report Shows

This report displays:

  • A matrix with employees in rows and dates as columns
  • Work hours split by project and cost code
  • Time broken down by day, employee, and task

🗓️ Date Range Selection

At the top of the report, choose a:

  • Predefined pay period
  • Preset like “This Week,” “Last 7 Days,” etc.
  • Or set a custom date range

The selected period will define the columns (dates) shown in the report.


🕒 Column Toggles (Per Day)

You can control which hour types are displayed:

  • Regular Hours
  • PTO Hours
  • OT Hours
  • Total Hours

Use the toggles at the top of the report to show/hide any of these columns.


🧱 Row-Level Filters

The rows represent employee entries, broken down by project and cost code. Available filters include:

  • Division
  • Employee (select one or multiple)
  • Work Type (Project, Service, Break)
  • Project (select all or specific)
  • Cost Code
  • Service Location (if used)

You can also toggle:

  • Show Zero Hour Time Cards:
    • ON: Includes employees who submitted no time
    • OFF (default): Hides them from the report

💡 Report Behavior

  • If an employee worked on multiple projects or cost codes, each combination appears as a separate row.
  • Each day within the selected time range appears as a separate column.
  • Unused columns (days) can be hidden manually for clarity.

📁 Saving a Custom Report

Once you've filtered the data as needed:

  1. Click Save in the top-right.
  2. Name your report and choose whether to make it Public or Private.
  3. Click Confirm to save it.

All saved versions will appear under the Saved tab on the Reports page.


⬆️ Exporting Options

Click the three vertical dots (top-right corner) to export:

  • Export to Excel: Full raw data
  • Export to PDF: Summarized format
  • Export by Project (PDF): Project-specific breakdown

🧠 Use Cases

  • Field/project managers verifying time submissions daily
  • HR audits of PTO, overtime, and break usage
  • Project tracking on a per-employee or per-cost code basis

📌 Tips

  • Use Service Location filter only if your time entries include service jobs.
  • Save different versions of the report for specific teams, projects, or departments.
  • Export as PDF for quick sharing or Excel for deeper calculations.
