📘 Form Actions: Copy and Cancel (via the Master Form Log) Overview
Ontraccr allows you to perform direct actions on submitted forms from the Master Form Log using the three-dot menu (⋮) beside each form entry. Two important actions available here are:
- Copying a submitted form
- Canceling a form (and its downstream workflows)
These actions are useful for saving time and for managing workflow interruptions or resets.
🧭 Where to Find the Actions
- Go to
Documents
→Forms
→Log
- On the far right of any submitted form row, click the three vertical dots (⋮)
- A small menu will appear with available actions
📝 Action #1: Copy a Submitted Form
What It Does
- Opens a new version of the form pre-filled with data from the selected submitted form
- Allows you to resubmit with minimal effort, especially useful when submitting similar data repeatedly
How to Use
- Click the ⋮ icon next to the submitted form
- Select Copy
- A new form window will open with all previous data pre-filled
- Make any changes if needed, then click Submit
🛑 Action #2: Cancel a Form (and All Downstream Workflows)
What It Does
- Immediately halts all downstream actions triggered by that form submission
- This includes:
- Pending emails
- Approval workflows
- Timesheet updates
- Dispatches or scheduled shifts
- Removes the form from assignee queues and stops further processing
How to Use
- Click the ⋮ icon next to the form
- Select Cancel
- Confirm the cancellation in the prompt that appears
📌 You must have permission to cancel workflows to perform this action.
🔄 Common Use Cases
- Copy:
- Submit recurring forms (e.g., weekly inspections, standard checklists)
- Create a quick duplicate for slight modifications
- Cancel:
- Abort forms with incorrect or outdated data
- Clear assigned or approval tasks stuck in a user’s queue
- Reset workflows when processes change mid-stream
⚠️ Important Notes
- Once canceled, no automated actions will run, and the status is updated accordingly in the audit trail
- Only submitted forms (not drafts or unsubmitted ones) support these actions
- The Copy function does not retain the original form ID—a new ID is generated upon submission
