Setting Up and Using Custom Fields for Projects in Ontraccr

🛠️ Setting Up and Using Custom Fields for Projects in Ontraccr Overview

Custom Fields let you tailor project records to fit your company's unique needs.

Instead of sticking to default fields, you can add your own sections and questions — like "Project Supervisor," "Site Access Instructions," or any important project-specific data.

🎯 Why Create Custom Fields?

  • Capture special information you always need on projects.
  • Auto-fill forms and documents with project-specific data.
  • Make project records more complete and meaningful.
  • Enforce important fields during project creation.

🛠️ How to Create Custom Fields for Projects

  1. Go to Settings → Customization → Custom Fields.
  2. Click the dropdown and select Projects.
  3. Click Add Section to start.
  4. Enter:
    • Section Name (e.g., "Site Details", "Contact Info").
  5. Click Add Field inside the section.
  6. Choose your field type:
    • Text Input
    • Yes/No Toggle
    • Dropdown (Single Select or Multi-Select)
    • Number Input
    • Attachment
    • Date / Time / Date Range
    • Signature
    • Static Text
    • GPS Location
    • Weather Data
  7. Configure field settings (e.g., make it Required or Optional).
  8. Click Save.

✅ Your custom fields will now appear when creating or editing a project!

🧠 Tips for Designing Good Custom Fields

  • Group Related Fields into sections for easier filling.
  • Keep Required Fields Minimal — only force mandatory fields you really need.
  • Use Dropdowns whenever possible to avoid messy inconsistent data.
  • Label Clearly — the better your field names, the less confusion during project setup.

📥 How Custom Fields Work After Setup

  • When adding a project, custom fields will appear below the regular project info.
  • During project view mode, custom fields show under the General Info tab.
  • When filling out forms, you can pull custom field data dynamically into forms using Dynamic Attribute Fields!

Dynamic Attribute Fields in Forms

If you want forms (like Change Orders or Safety Reports) to auto-fill project details:

  • Use Dynamic Attribute field type inside your form design.
  • Map it to pull info from your project's custom fields.

✅ Saves time and ensures consistent project information across your workflows!

🧠 Edge Cases and Important Notes

Custom Fields Are Per-Project:

They only apply to the projects you build them into — not globally across the company unless you design it that way.

Changing Custom Fields Later:

If you update custom fields after projects exist, you'll need to manually add missing data to older projects if needed.

Keep an Eye on Field Limits:

Very large numbers of fields can make project forms heavier — design thoughtfully!

Example Scenario

You want to track:

  • Site Supervisor Name
  • Site Emergency Phone Number
  • Site Access Code

You create a "Site Info" section with three fields.

Now every project has these fields ready, and field teams see the correct access info immediately inside their forms and apps!

🚀 Summary

Custom Fields in Ontraccr give you unmatched flexibility to collect and manage the information that matters most for your projects — and tie it seamlessly into forms, reports, and workflows.
