🧭 Introduction

The Users section in the Ontraccr mobile app lets authorized users view, search, filter, add, edit, and archive staff profiles. Whether you’re a field lead checking user roles or an admin adding a new worker, this guide walks through everything you can do with user records on mobile.


📍 Where to Access Users

  1. Tap “More” from the bottom nav bar
  2. Tap “Users”

Access is based on permissions:

  • View Users: See users and profile tabs
  • Manage Users: Add, edit, archive

🔍 Search and Filter Users

1. Filter by Labels

  • Tap the filter icon (top-left)
  • Choose from custom labels (e.g., “Supervisor”, “Apprentice”)
  • Tap Save to apply
  • Clear filters via the trash bin icon

2. Search

  • Use the search bar to look up users by name

👀 Viewing a User

Tap a user’s name to open their profile.

Tabs available (depending on permissions):

❗ You’ll only see fields you have permission to view (e.g., wages are hidden if you lack that access).


✏️ Editing a User

  1. Tap into the user’s profile
  2. Tap the pencil icon (top-right)
  3. Editable fields include:
    • Name, position/role, username, password
    • Email (to send login credentials)
    • PIN (for kiosk/tablet use)
    • Phone number, time zone, division
    • Assigned projects
    • Custom user fields (e.g., license ID, emergency contact)

Tap Save to apply changes


➕ Adding a New User

  1. Tap the plus icon (top-right)
  2. Fill in the following:

🟥 Required Fields:

  • Name
  • Position (user role)
  • Username
  • Password + Confirm Password
  • Division (if multiple exist)

🟨 Optional Fields:

  • Email (for login invite)
  • Phone
  • PIN (for tablet login)
  • Project assignments
  • Custom profile fields

Tap Save when done — the new user will appear in the list.


🗑️ Archiving a User

To archive:

  1. Find the user in the list
  2. Tap the bin icon next to their name
  3. Confirm archive

📌 Archived users are not permanently deleted and cannot be restored via mobile. Permanent deletion must be done in the web app.

🔒 Archived users do not appear in mobile app lists and cannot be filtered for.


📁 Tabs in More Detail

Info Tab

  • Includes all core user details and custom fields
  • View division, teams, assigned projects

Labels Tab

  • View labels assigned to the user (e.g., “Foreman”, “Safety Rep”)

Files Tab

  • Access any files uploaded to the user’s profile
  • Tap to view or download

Certifications Tab

  • View certifications linked to the user
  • Tap to open cert files (if attached)
  • Note: Editing certifications is only possible on the web
