🔐 Folder & File Permissions Management
 

Ontraccr gives you full control over who can view, access, or manage any folder or file within the file storage system. Whether you’re sharing project documents or limiting visibility to certain team members, permission settings are flexible and easy to use.


🛠 How to Set Permissions

You can set permissions at either the folder level or the individual file level.

To manage permissions:

  1. Click the Permissions column on any file or folder
  2. The permission selector will open

Inside the permission selector, you can:

  • Set the file or folder to Public (visible to everyone in your company)
  • Or manually select specific users who should have access

💡 Tip: You can search for users by name directly in the permission selector.


🔍 Visibility Rules

  • If a user does not have permission to a folder, they won’t see it at all in their account (on web or mobile)
  • This includes all subfolders and files inside it — they remain hidden
  • You must grant access to the parent folder in order for users to access anything nested inside

🧠 Example: If someone is granted access to a file inside a folder but not the folder itself, they won’t be able to access the file — because they can’t see the folder it lives in.


🌐 Permission Icons

You’ll see visual indicators in the Permissions column:

  • 🌐 Globe icon = Folder is Public (everyone in the company can access it)
  • 🌿 Branch icon = Folder has custom permissions set (only specific users can access)

⚙ Managing Permissions from the Projects Page

You can also manage file permissions directly from a project:

  1. Go to the Projects page
  2. Open a project and click the Files tab
  3. Click Manage Permissions

You’ll see the same permission options as in the main file system, including Public access and specific user access.


🎯 Granular Access Control

You’re not limited to high-level permissions. You can:

  • Set access at the folder level (e.g. entire project folder)
  • Drill down to set access on individual files or subfolders

This allows you to tightly control who sees what — perfect for sensitive drawings, contracts, or reports.

  • Permissions can be set on any folder or file
  • Users without access won’t see restricted items at all
  • You must grant access to parent folders for nested content to be visible
