👥 Creating and Managing Teams in Ontraccr
Teams in Ontraccr allow you to group users who regularly work together, enabling streamlined time tracking, scheduling, and supervisor approvals. This article explains how to create, edit, and manage teams using the Manage Teams page in the web app.
🧭 Where to Access the Teams Page
- Navigate to Staff > Manage Teams in the Ontraccr web app.
- You’ll see a list of existing teams on the left-hand side.
Each team shows:
- The team name
- A number indicating how many members are assigned to that team
➕ How to Create a New Team
- Click the “Add” button.
- Fill out the required fields:
- Team Name
- Division (if your company uses multiple divisions)
- Supervisors
- Team Members
- Optionally, you can also:
- Assign the team to specific Projects
- Assign the team to Equipment
- Click Submit to save the team.
📌 Note: The supervisors dropdown will only show users who have permission to approve time cards. Typically, these are users in Supervisor roles or above.

🖊️ Editing a Team
- From the team list on the left, click the team name.
- Click the yellow Edit button.
- You can now:
- Add or remove members
- Change supervisors
- Update project or equipment assignments
Click Submit to save changes.
🧼 Archiving and Deleting Teams
- From the Edit screen, click the Archive button (bottom-left).
- Use the filter menu to switch to Archived Teams.
- In the archived view, you can choose to Permanently Delete the team.
⚠️ Deleting a team is permanent. Archive first if unsure.
🔍 Filtering and Searching Teams
- Use the search bar to find teams by name.
- Use the filter button to toggle between:
- Active Teams
- Archived Teams
🔄 Project Assignments: When Do They Matter?
If you’ve enabled the Restrict Project Selection permission for roles:
- Team-level project assignments help control which projects members can access.
- Otherwise, project assignments are optional and used mainly for filtering/reporting.
