👥 Customers in the Mobile App: View, Edit, and Manage Client Profiles
🧭 Introduction
The Customers section in the Ontraccr mobile app lets users with permission view, create, edit, and archive customer records — along with linked projects, notes, invoices, and contacts.
This guide explains how to use every part of the Customers tab from the More section of the app, including tabs for linked data like billing and address books.
📍 Where to Access Customers
- Tap “More” from the bottom nav bar
- Tap “Customers”
You’ll see a list of all customers in your workspace (based on your permission level).
🧭 Customer List View
Each customer row includes:
- Customer name
- Quick-access trash bin icon (to archive)
- A filter icon at the top-right to narrow your view
🔍 Filtering Customers by Label
Tap the filter icon to sort customers using custom labels (e.g., “General Contractor”, “Client - Residential”).
- Select a label
- Tap Save (top-right)
- Only customers with that label will appear
➕ Creating a New Customer
Tap the “+” icon (top-right) to create a customer. Requires the Manage Customers permission.
Required Fields (marked with 🔴):
- Name 🔴
- Division(s) 🔴
- Office Phone 🔴
- Email 🔴
Optional Fields:
- Mobile, Fax, Billing Email, Website
- Office & Billing Address
- Material Discount (%)
- Billing Rate (from predefined billing rate tables)
- General Info
After entering details, tap Save (top-right) to add the customer.
📝 Editing a Customer
- Tap the customer name to open their profile
- Tap the pencil icon (top-right) to enter edit mode
- Modify any fields (same screen as creation)
- Tap Save again to update the customer
📁 Tabs Inside Customer Profile
When viewing a customer, you’ll see several tabs at the top:
1. Info
- View all base fields: names, emails, phones, addresses, material discount, billing rates, etc.
2. Projects
- See all projects linked to this customer
- Tap any project to open its full profile
- Use this as a shortcut to manage active jobs for a client
3. Notes
- Add internal notes related to the customer
- Tap the note input box and hit Enter (right-arrow) to submit
- Notes cannot be edited or deleted after submission
4. Billing
- Log of invoice-type forms sent to the customer
- Tap to view each invoice (if available)
⚠️ If nothing appears, no invoices have been submitted for this client yet
5. Work Orders
- View work order forms submitted and tagged to this customer
- Tap to view details of each one
6. Other Forms
- Shows all other form types submitted and tagged to the customer
- Functions like a general form log
- Tap any form to view contents
7. Address Book
- List of contacts linked to the customer
- Add new contacts via the + icon
- Each contact includes:
- Name 🔴
- Role (optional)
- Phone (optional)
- Email (optional)
These contacts can be used in downstream forms with contact dropdowns.

The Customers section in the mobile app allows you to:
- Create or edit full client profiles from the field
- View linked projects, invoices, forms, and contacts
- Add and manage multiple points of contact per customer
- Filter and archive client records as needed
