📋 Creating, Editing, and Managing Shifts from the Shift Slider
 

📘 Article Purpose

This article explains how to use the Shift Slider in Ontraccr to create, view, and manage labor shifts—including all actions available during creation and after publishing.


🛠️ Accessing the Shift Slider

You can open the Shift Slider in two ways:

➕ Creating a New Shift

  • Click the + Add button in the Field Schedule
  • OR click-and-drag a time block under a user

✏️ Editing an Existing Shift

Click on any published or draft shift on the schedule

(requires the “Manage Schedule” permission)


🧱 Layout of the Shift Slider

The slider is split into two main sections:

🔍 Left Panel – Calendar Preview

  • Shows the user’s schedule for the selected date(s)
  • Helps you avoid conflicts or overlaps
  • View modes: Day or Week
  • You can scroll between days/weeks using arrow controls

🖊️ Right Panel – Shift Details

This is where you configure or edit shift information.

It includes every available field:

Required:

  • Title
  • Division (if applicable)
  • Date or Date + Time

Optional:

  • Repeats (Daily, Weekly, Monthly, etc.)
  • Reminders (Internal/External)
  • Project, Phase, Cost Code
  • Lock Clock-In Details
  • Color
  • Assigned Users
  • Teams
  • Expected User Groups
  • Category
  • Description
  • Attachments
  • Assigned Form Template

🧾 Shift Creation Options

At the bottom of the slider, you’ll see 3 action buttons:

CancelCloses the slider without saving
Save as DraftSaves the shift in a transparent draft state; lets users apply to it
SubmitPublishes the shift; appears as a solid color on the schedule

👤 Assigning Users From the Shift Slider

Within the Assigned Users section:

  • Filter users by label (e.g. Carpenter, First Aid)
  • View users’ existing workload using the User Schedule tool
  • If users have addresses saved, you'll see their distance from the job site

📌 This helps dispatchers choose the right person with the right skills who is closest and available.


🧠 Draft Shifts & Pending Users

If you Save as Draft, the shift will:

  • Appear as transparent
  • Show a new section called Pending Users if someone applies
  • Allow dispatchers to approve or reject applicants before publishing

✏️ Editing a Shift Later

  • Click any shift (draft or published) to reopen the slider
  • Make changes to time, users, project, etc.
  • All assigned users will be notified of the update (if notifications are enabled)

🔔 Shift Change Notifications

To ensure updates are sent:

  • Go to Settings > Notifications
  • Enable:
    • Shift Assignment/Update Notifications
    • Scheduled Shift Reminders

Also check:

  • Email & Push Preferences are on under Settings > Preferences
