The Manage Users page is your central hub for managing your entire workforce inside the Ontraccr platform. It allows administrators and managers to view, add, edit, and filter user profiles — all from a single dashboard. This article will walk you through everything visible and interactive on this page, based strictly on what was covered in the product deep dive session.
📍 How to Access the Manage Users Page
To access the user management area:
- Navigate to the Staff section in the web app.
- Click on Manage Users.
This will open a full view of all currently active users in your organization.
🔎 Note: Archived users are not shown by default. You must use the filter to view them

Here’s a breakdown of all the features and interface elements visible on this page:
🔍 1. Search Bar
- Located at the top of the page.
- Allows dynamic searching as you type a user’s name.
- Example: Typing “Aria” filters matching users in real time.
➕ 2. Add User Button
- A red “+ Add” button is located beside the search bar.
- Clicking this launches the Add User slider, where you can input all necessary information to create a new user.

👁️ 3. Card View / List View Toggle
- Users are displayed in Card View by default.
- You can switch to List View using a toggle on the right-hand side.
- Card View shows:
- Name
- Role
- Labels
- Shortcut to time card
- Shortcut to manual clock entry
- List View displays:
- Name
- ID
- Divisions
- Position
- Card View shows:
🕓 4. Time Card Shortcut (Yellow Box)
- Clicking this opens a slider with:
- The user’s current time card for this pay period
- All recorded time entries
🕘 5. Clock In / Manual Entry Shortcut (Gray Box)
- Clicking this allows admins (with appropriate permissions) to:
- Clock in a user live into a selected project and cost code
- Or create a manual time entry for them
⚠️ Important: You must have the “clock in other users” permission to use this feature.
🧾 User Display Details (Card View)
Each user card includes:
- Full name
- Assigned role
- Custom labels (e.g., skill type, location)
- Time card shortcut
- Manual clock-in shortcut
