When you click on a user in the Manage Users page (without choosing Edit), Ontraccr opens a view-only profile dashboard. This interface displays key information about the user across six organized tabs. This article breaks down what each tab includes, how the data gets populated, and what access implications exist.
🧭 How to Access the User Dashboard
- Navigate to Staff > Manage Users.
- Click on any user’s card (but not the Edit button).
- The view-only dashboard will open, showing six tabs across the top.
🗂️ The 6 Profile Tabs Explained
1. General Info
Displays the full set of core details captured during user creation or editing:

2. Labels
Displays all custom labels assigned to the user (e.g., “Vancouver”, “Electrician”, “First Aid”).
- Labels are created during profile setup or editing.
- Multiple labels can be assigned to each user.
3. Files
Lists any files attached to the user's profile.
- Includes contracts, agreements, and other uploaded docs.
- Viewable/downloadable from this tab.
🔐 Visibility Note: If the logged-in user can view profiles, they can also see the attached files.
4. Notes
Used to store internal notes related to the user.
- Examples: Attendance issues, behavioral flags, management reminders.
- Text-based and flexible.
⚠️ Permissions Note: If a user has permission to view their own profile, they will see the notes section. There is no way to hide just the Notes tab from them.
5. Certifications
This tab allows admins or managers to track and manage user certifications.
Field | Description |

Issuer | Organization or authority that issued it |
File Upload | Optional digital copy of the certificate |
📌 Why Expiry Matters: Ontraccr automatically emails:
The certificate holder, and
Admins
90 days before expiry.
📊 Admins can also run a User Certifications Report from the Reports tab to track:
- Active
- Expiring (within 90 days)
- Expired certifications
6. Assigned Forms
Shows all forms currently assigned to the user via workflows.
Actions Available | Details |

Search or Filter | Filter form logs by status, trigger, etc. |
Cancel Assigned Forms | Select one or more forms, click Cancel Selected, then confirm to remove them from the user’s queue. |
Click into Form | View full form details, trigger info, and timeline. |
🧠 Common Use Case: If a worker reports being overwhelmed with forms, an admin can use this tab to cancel irrelevant ones from their assigned queue.
