📄 Using Task Templates in Ontraccr

Task Templates in Ontraccr help standardize how tasks are created across boards, equipment, and other modules. Instead of entering the same task information manually each time, you can build reusable templates to speed up setup and ensure consistency.

🧭 Where to Access Task Templates

  1. Go to Settings.
  2. Click Customization.
  3. Select Task Templates (located under the Job Costing section).

🎛 What You Can Customize

Each task template allows you to prefill:

  • Task name
  • Description or instructions
  • Related form (optional)
  • Other default task data (based on your system settings)

🛠️ How to Create a Task Template

  1. In the Task Templates customization screen, click the Add (+) button.
  2. Enter the task name and any other necessary details.
  3. Click Save to store the template.

📦 Where Task Templates Can Be Used

Once created, task templates can be applied in multiple areas across the platform:

ModuleHow It Works
BoardsWhen adding a new card or task, select from a template instead of manual input.
EquipmentFor assigning recurring tasks like inspections or maintenance.
FormsIf you link forms to tasks, they can be included as part of the template setup.

💡 Real-World Example

Let’s say every piece of equipment needs a monthly inspection task. Instead of typing this out each time:

  • Create a template named Monthly Equipment Inspection
  • Set the task description with checklist items
  • Attach the appropriate inspection form

Then, whenever you add a task to a piece of equipment, just select this template and you’re done in seconds.

Tips and Edge Cases

  • Updating Templates: Use the Edit button in the template list to update existing templates. Changes won’t affect already-created tasks—only new ones.
  • Template Naming: Use consistent naming conventions (e.g., “Board – Submittal Review”, “Equip – Safety Check”) to keep templates organized.
  • Permissions: Ensure that roles with task creation access also have visibility on Task Templates if needed.
