📘 Overview
Ontraccr allows you to map specific forms to equipment types, making it easy for field and office teams to launch relevant forms—like inspections or maintenance checklists—directly from equipment profiles. This mapping works on both web and mobile.
🧩 What is Form Mapping?
Form mapping ties a specific form (e.g., Monthly Equipment Inspection) to an equipment type (e.g., Excavator). Once mapped:
- The form becomes available directly from the equipment profile.
- Custom fields from the equipment can auto-populate into the form.
- It ensures only the right forms are used with the right equipment.
⚙️ How to Set It Up
To map forms to equipment types:
- Go to Settings → Customizations → Types
- Toggle the view to Equipment
- Click the ✏️ Pencil icon next to the equipment type you want to map a form to
- In the form mapping section, select the appropriate form(s)
- Save your changes
🧠 How It Works in Practice
Once forms are mapped:
✅ On the Web
- When viewing an equipment profile, click the form icon (top-right corner)
- A list of mapped forms appears
- Select a form and click Continue
- The form launches with the equipment pre-filled
✅ On Mobile
- Open the Ontraccr app
- Navigate to the equipment profile
- Tap the form icon in the top-right
- Select the mapped form and start filling it out
🎯 Benefit: If the form includes an equipment dropdown, it will be auto-filled with the current equipment.
🔁 Custom Field Mapping
Mapped forms can pull in values from:
- Equipment custom fields (e.g., Model, Engine Type, Serial Number)
- Any standard equipment field (e.g., Name, ID)
This allows dynamic information to flow directly into the form without manual re-entry.

Scenario: You have an equipment type called Excavator
You’ve mapped the form Weekly Maintenance Checklist
to that type.
Result:
- Any user viewing an
Excavator
profile can instantly launch that checklist - Fields like engine hours, assigned operator, or last maintenance date (if captured in custom fields) can auto-fill into the form
