🧾 Exporting and Importing Budgets in Ontraccr (Excel & PDF)


📘 Overview

Ontraccr allows you to both export and import project budgets using standard file formats like Excel and PDF. This is useful for offline editing, sharing with external stakeholders, or migrating pre-built budgets into the platform.

These options are available directly from Step 5: Budget in a project.


📤 How to Export a Budget

  1. Navigate to the project’s Step 5: Budget
  2. Click the three vertical dots (⋮) in the top-right corner
  3. Choose from the following export options:
    • Excel
    • PDF

🧾 Excel Export

  • Downloads a spreadsheet version of the entire budget
  • Includes all cost codes, categories, hours, and cost values
  • Also includes: contract value, burden rate, and expected profit

📄 PDF Export

  • Generates a clean, printable summary
  • Includes sectioned views for Labor, Material, Overhead, and Equipment
  • Great for client-facing documentation or internal approvals

📥 How to Import a Budget from Excel

You can use the same export format to re-import a filled-in budget, streamlining setup for large or complex projects.

📂 Steps:

  1. Download the budget Excel template (via Export)
  2. Fill in the spreadsheet:
    • Each row should represent one cost code
    • Enter Cost, Hours (if Labor/Overhead), and other budget fields
  3. In Step 5, click the ⋮ menu
  4. Choose Import
  5. Upload the completed Excel file

✅ The system will validate entries:

  • Ensure cost codes exist in the project
  • Highlight duplicates or missing data

🧠 Use Cases

  • Budgeting in Excel, then syncing into Ontraccr
  • Collaborating on budgets outside the app with estimators or execs
  • Sending clean summaries to clients or auditors
  • Updating budgets mid-project (via export → edit → re-import)

🔒 Validation Notes

  • All imported cost codes must already exist in the project (Step 3)
  • Errors in the Excel file will be flagged during import
  • Contract value, burden, and total estimates will update automatically after import
