In Ontraccr, users cannot remove assigned forms from their own Assigned tab unless they submit the form. To remove an assigned form from someone’s queue without submission (e.g., if the task is no longer relevant), an admin or authorized team member must cancel the workflow behind that form.

This article outlines the two admin-level methods to remove forms from a user’s assigned queue.


🔐 Who Can Perform These Actions?

Only users with the following can clear assignments for others:

  • Access to the Form Log
  • Permission to cancel workflows
  • Access to the Staff → Manage Users section

🛠 Option 1: Cancel from the Master Form Log

When to Use:

You know the form number or type and want to cancel it directly.

Steps:

  1. Go to DocumentsFormsLog
  2. Use the filter or search to locate the form
  3. Click the three-dot menu (⋮) on the right
  4. Select Cancel
  5. Confirm the cancellation

💡 This will cancel all downstream workflows and remove the form from the assigned user’s tab.


🧑‍💼 Option 2: Use the Manage Users Page

When to Use:

You want to bulk-manage or view all assigned forms for a specific user.

Steps:

  1. Navigate to StaffManage Users
  2. Click on the user’s name
  3. Go to the Assigned Forms tab
  4. Use the checkboxes to select one or more forms
  5. Click Cancel Selected at the top
  6. Confirm the cancellation

📝 What Happens When You Cancel a Form

  • The form is removed from the user’s Assigned tab
  • All downstream workflows (emails, approvals, shifts, etc.) are also halted
  • The cancellation appears in the Timeline of the form for audit tracking

🔁 What Users Should Do

If users cannot clear forms themselves, they should:

  1. Identify the form(s) they want removed
  2. Share the form name or number with an admin
  3. Request cancellation using one of the two methods above

🧠 Tip for Admins

Create a saved filter in the Master Log for common cancellation scenarios:

  • “All incident reports from last month”
  • “Forms assigned to inactive users”
