🏷️ Label System for Users: Usage & Setup
Labels in Ontraccr allow you to categorize and organize users using custom tags. They offer a flexible way to group employees by skill sets, job types, locations, or any other criteria meaningful to your organization. This article explains how labels work, how to create them, and where they can be used in the system.
🧩 What Are Labels?
Labels are custom, reusable tags that can be added to user profiles to help sort, group, or filter users throughout Ontraccr.
🔄 Examples of Label Usage:
- “Electrician”
- “Vancouver”
- “First Aid Certified”
- “Union Worker”
- “Seasonal Crew”
🧠 Tip: Labels are entirely custom. You can create any label you want, based on your company’s needs.
🛠️ How to Add Labels to a User
You can add labels when creating or editing a user:
- Go to Staff > Manage Users.
- Click Add (to create a new user) or Edit on an existing one.
- Scroll to the Labels section.
- Either:
- Select existing labels from the dropdown, or
- Type in a new label and click the Add button to create it.
✅ Key Behaviors:
- Multiple labels can be assigned to a single user.
- There’s no limit on how many labels can exist or be assigned.
- Labels are immediately available for filtering on the Manage Users page.
🔍 Using Labels for Filtering and Sorting
On the Manage Users page, labels are fully integrated into the filtering system.
Filter by Label:
- Click the red Filter button.
- Use the Label filter to narrow your view to users with a specific label.
This is helpful for:
- Finding workers by location
- Assigning tasks to crews with a specific skill
- Reviewing only union vs. non-union staff
🎯 Practical Use Case
Your company has projects in both Vancouver and Toronto. You can:
- Assign a “Vancouver” label to employees in that city.
- Assign a “Toronto” label to the others.
- Now, when dispatching or reviewing users, you can quickly filter based on their location.
❗Things to Remember
- Labels are visible on user cards in Card View (under the user’s role).
- There is no built-in restriction or hierarchy associated with labels — they are organizational tools only.
- Deleting a label from a user does not delete the label system-wide.
📌 Summary
Labels are a powerful yet simple way to group and organize your users in Ontraccr. Whether you're managing skill types, crew locations, or anything in between, labels give you flexible control over how your team is viewed and filtered.
