When adding or editing a customer in Ontraccr, you have access to a rich set of fields that let you store key information beyond just a name. These fields not only help organize your database but also connect with other workflows—like auto-filling forms and enabling automation.

This article breaks down all available optional fields in the customer profile and how each one works.


🗂️ Categories of Fields

Customer data fields are grouped into two steps in the “Add Customer” workflow:

  1. Step 1: General Info
  2. Step 2: Billing Info (optional)

🧾 Step 1 – General Info Fields

🏷️ Labels

  • Use to categorize customers (e.g., “Retail”, “VIP”, “Problem Client”).
  • You can:
    • Select existing labels
    • Type a new one and click Add to create it
  • Helps with filtering and sorting on the Contacts page

📂 Buckets

  • Optional grouping feature.
  • Must be created separately.
  • Once created, customers can be linked to a bucket.

☎️ Phone Numbers

  • Office Phone Number
  • Mobile Phone Number
  • Fax Phone Number

📧 Emails

  • Office Email
  • Billing Email

💡 These fields integrate with forms:

  • When used in attribute-type questions, these email addresses can auto-populate and be used for automated form-based emailing.

🌐 Website

  • Freeform URL field

📝 Info

  • General-purpose freeform notes field
  • Great for internal context or client-specific nuances

📍 Addresses

  • Office Address
  • Option to uncheck “Use Office Address” to enter a separate billing address

💸 Step 2 – Billing Info Fields

💲 Billing Rate

  • Pulled from preconfigured rates in Settings > Time Tracking > Rates
  • Useful for setting per-customer negotiated rates
  • Applies to any form or workflow that uses billing info

✍️ Custom Rate

  • Check the box to manually enter a dynamic rate

📉 Material Discount

  • Enter a percentage (e.g., 10 for 10%)
  • Automatically applies to forms with material tables when this customer is selected
  • Helps automate client-specific pricing rules

📌 Integration with Forms

All fields listed above are available as attributes in Ontraccr forms. That means:

  • Selecting a customer in a form can auto-fill relevant fields (emails, phone numbers, addresses, etc.)
  • Reduces manual entry
  • Ensures consistency across workflows
