How Teams Integrate with Time Tracking in Ontraccr
⏱️ How Teams Integrate with Time Tracking in Ontraccr
In Ontraccr, Teams are more than just a way to organize employees — they directly power time tracking workflows, especially for supervisors who manage groups of field workers. This article explains how teams interact with time cards, how approval flows are structured, and what tools supervisors use to manage team time.
🧩 Key Benefits of Team-Based Time Tracking
- Supervisors can manage their crew’s time cards from one screen.
- Time card approval routing can be based on team assignments.
- The Team Cards tab appears in the mobile app for eligible supervisors.
📱 Team Cards: Supervisor View in the Mobile App
When a supervisor is assigned to a team:
- They will see a Team Cards tab in their Ontraccr mobile app.
- This tab displays:
- All members of the team
- Their time entries (live clocks, manual entries, or drafts)
- Tools to create, edit, or approve time cards on their behalf
📌 Supervisors must have the proper role permissions to use these features.
🗳️ Time Card Approval Hierarchy
Ontraccr supports a three-tier approval system:
Tier 1: Project-Based Approvals
If a project has a dedicated approver set, that person gets the time card approval request — regardless of the user’s team.
Tier 2: Team Supervisor Approvals
If no project approver is assigned, and if the setting below is enabled, time cards are sent to the team’s assigned supervisors instead.
Tier 3: Company-Wide Approvals
This is the fallback approval system when no project or team approver exists
⚙️ Enabling Supervisor-Based Approvals
To activate team supervisor approval routing:
- Go to Settings > Time Tracking > Time Cards
- Enable the setting: “Enable Assigned Supervisor Approval”
When this is active:
- If a user clocks time for a project without an assigned approver
- Their team supervisor is notified to approve the time card
🧠 Use Case Example
A construction crew is assigned to the “Downtown Team.” The foreperson (a Supervisor role) is added as the team supervisor.
- The crew clocks in/out daily via the mobile app.
- The foreperson opens Team Cards to review and edit time as needed.
- Since Supervisor Approval is enabled, they also approve submitted time cards.
- If a project approver is later added, approvals shift to that person.
🔒 Permissions Required
For supervisors to fully use the Team Cards workflow, their role must have:
- View Time Cards
- Edit Time Cards
- Edit Approved Cards
- Manual Entry
- Enable “Approve All” Button (optional)
Without these permissions, the supervisor may be able to view but not take action.
📌 Summary
Teams in Ontraccr power a streamlined, supervisor-centric time tracking model — especially for field environments. Whether using project-based or team-based approvals, the platform ensures that the right person always has visibility and control over time entries, keeping workflows clean and compliant.
