Overview

Ontraccr allows you to submit forms directly from any board card. This means field teams or office staff can fill out forms like safety inspections, checklists, or service reports in the context of the card they’re working on. You can also use saved form mappings to pre-fill forms with card data for faster, more accurate submissions.

  • You want users to submit forms directly from within a workflow
  • You want to connect card data to form fields automatically, saving time filling out information
  • You want all submitted forms to be logged on the card for easy tracking
  • You want to ensure users complete the right documentation at the right time

🧩 How to Submit a Form From a Card

  1. Open a board card
  2. Click the Form icon (pencil in a square) near the top
  3. Choose a form to fill out:
    • Manual Selection (choose from any form available to you)
    • Saved Form Mapping (recommended if available)
  4. The form will open with either:
    • Blank fields (manual submission)
    • Pre-filled values (if using a saved mapping)
  5. Complete the form and click Submit

✅ The completed form will be automatically logged in the card’s Forms Tab


🔐 Permissions Required

Users must have:

  • Access to the form itself (via Form module permissions)
  • Access to the Form icon on the board (controlled by board permissions)

If a user can’t see the Form icon on a card, it means they lack one or both of these permissions.


✅ Example Use Case

  • A technician opens a card titled “Service Request – Boiler Room”
  • They click the Form icon and select “Service Completion Report”
  • The form is pre-filled with the project name and technician info
  • After submission, the form is recorded in the card’s Forms Tab and tied to that job permanently

🧠 Tips & Edge Cases

  • Submitted forms from the card are only visible in the Forms Tab of that card
  • Users can still access forms from the main Forms module if needed
  • You can attach forms to tasks as well — not just submit them manually
  • Saved form mappings make the process faster and reduce data entry errors
