Overview

This workflow automation automatically creates a new board card every time a new client (a.k.a. customer) is added in Ontraccr. It’s perfect for setting up CRM boards, onboarding pipelines, or service tracking workflows that start as soon as a client record exists.

Use this when you want to:

  • Automatically create a CRM lead card when a client is created
  • Trigger a client onboarding tracker workflow
  • Initiate a sales or service card tied to new customers
  • Standardize how clients flow into downstream workflows

🧩 How to Set It Up

  1. Go to your board and click the ⚙️ Settings icon
  2. Navigate to the Workflows tab
  3. Click the ➕ Add button
  4. Fill out the workflow configuration:

🔧 Step-by-Step Setup

🔁 Field Mapping Options

You can map any client field into the card:

  • Customer Name → Card Title (🟢 This is required)
  • Contact Name, Email, or Phone

✅ Only the Card Title field is mandatory — all others are optional.

  • A service company wants a new card to appear in their CRM board every time a new client is created
  • Workflow setup maps:
    • Client Name → Card Title
    • Phone → Contact Info
    • Sales Rep → Assigned User
  • When a new client is added, a card is auto-created in “New Lead”

  • “Client” and “Customer” are interchangeable — it depends on your account terminology
  • The card will only be created once per client — even if the client is edited later
  • You can link the card back to the client automatically using the “Link” field in your mapping
