📘 Article Purpose

This article explains how notifications and reminders work in the Field Schedule—how to configure internal and external alerts, what triggers them, and which settings control their delivery.


🔔 Two Types of Notifications

1. Reminders

Used to notify users (internal or external) before a shift or event starts

2. Update Notifications

Automatically sent when a shift is edited or reassigned


Setting Up Reminders (Internal + External)

You can add reminders when creating or editing a Shift or Event.

📍 Where to Find It

In the shift or event slider, expand the Reminders section.


🔹 Internal Reminders (To Team Members)

Notify internal users via email about upcoming shifts/events.

Timing options:

  • At time of event
  • 5 / 10 / 15 / 30 minutes before
  • 1 / 2 hours before
  • 1 / 2 days before

✅ You can add multiple reminders per shift


🔹 External Reminders (To Customers or Clients)

Same timing options as internal reminders.

Additional step:

  • Select the recipient from a list of:
    • Project billing contacts
    • Customer profile contacts
  • Or manually type any email and hit Enter

📧 All external reminders are sent via email

🔄 Shift Update Notifications

These are triggered automatically when a scheduled shift is:

  • Edited (e.g., time changed)
  • User is added or removed
  • Shift is reassigned

🧠 This ensures that workers know their schedule was updated.


⚙️ Global Notification Settings to Check

To ensure notifications are sent correctly, go to:

Settings > Notifications

✅ Enable These:

Shift Assignment/Update Notifications

Sends alerts to users when a shift is assigned or changed

Scheduled Shift Reminders

Sends time-based reminders to assigned users


⚙️ Also Check Preferences

In Settings > Preferences, make sure:

  • Email Notifications are enabled
  • Push Notifications are enabled (for mobile)

📱 Push notifications appear in the Ontraccr mobile app.


🧠 Edge Case: No Notifications?

If users don’t receive reminders or updates, check:

  • The role permissions (do they have access to view the shift?)
  • Their contact details are correct
  • The correct notification settings are toggled on
