Create Board Card: Auto-Create Cards with Mapped Fields, Colors, and Assignees

šŸ“„ Create Board Card Block: Automatically Create Task Cards from Form Submissions

The Create Board Card Block lets you turn any form submission into a fully configured card on a board in Ontraccr. Whether you're creating tasks, change requests, approvals, submittals or adding a lead into your CRM, this block connects your form workflows directly to your team’s boards.

šŸ“Œ What Is the Create Board Card Block?

This workflow block lets you:

  • Auto-create a card on any board
  • Choose the board, column, and status
  • Set the card’s name, description, and style
  • Assign users to the card
  • Map data from the form to fields in the card

šŸ›  How to Set It Up

  1. Go to Step 3: Workflow
  2. Drag the Create Board Card block into your workflow
  3. Connect it to any previous block (Submit, Approval, Edit, etc.)
  4. Click the block to configure the board card settings:

āš™ļø Block Configuration Options

1. Board & Column

  • Choose the board where the card will appear
  • Pick the Status where it should be created

āœ… Statuses often represent a status/stage like ā€œTo Doā€, ā€œPending Reviewā€, ā€œApprovedā€ etc.

2. Card Title

  • You can use a dynamic field (as the ā€˜source field’) from the form (e.g., ā€œForm Numberā€) as the card’s title. This is a required field for card creation.

3. Card Description

  • Pick from:
    • Dynamic field values (e.g., a Project Details field)

4. Color

  • Pick a label color to apply to the card (helps visually categorize tasks)
  • Color codes can represent priority, form type, or location

5. Assign Users to Card

  • Choose who will be assigned:
    • Specific users
    • Form Author

6. Select Link Field

The ā€œSelect Link Fieldā€ option allows you to:

  • Link the new board card to a profile by referencing a "choose one or more" field within your form.
  • The card will then appear in the Cards tab of the selected profile (e.g., project, customer, etc.), enabling centralized visibility.
