How to Filter Equipment

🔍 Filtering Equipment

📘 Overview

Ontraccr’s Equipment Page includes a powerful filter panel that allows you to narrow your equipment list based on a variety of criteria. Whether you're identifying which assets need repair, viewing all items assigned to a project, or filtering by equipment type, filters help you quickly find what you're looking for.

This article explains each filter option available and how to apply them.

🧭 How to Access the Filter Panel

  1. Go to the Equipment Page
  2. Click the Filter icon near the top of the screen
  3. The filter panel will slide out with multiple categories

Apply filters as needed, then click Apply to update your view.

🧰 Available Filters

Here are all the filters you can use:

1. Status

  • Filter equipment based on their current operational state
  • Options include:
    • Default: Active, Inactive, Needs Repair, Maintenance
    • Any custom statuses you’ve configured

Tip: Select multiple statuses at once or isolate one (e.g., only “Needs Repair”).

2. Availability

  • Determine if equipment is currently checked in or available
  • Options:
    • Checked In — Equipment is actively clocked into a project
    • Available — Not currently assigned to any project

Availability is determined based on real-time check-in/check-out status.

3. Labels

  • Filter by any labels that have been added to equipment profiles
  • Example: View only items labeled Trencher or Conveyor

Supports selecting one or multiple labels.

4. Equipment Type

  • Filter by the types you've defined in Settings → Customizations → Types
  • Examples: Excavator, Pickup, Customer Equipment

5. Project

  • Show equipment assigned to a specific project
  • Select from your existing project list
  • Only equipment linked to the selected project(s) will appear

⚠️ If “Enable Global Selection” is active, this filter affects view only, not dropdown availability in forms.

📌 Example Filter Use Cases

GoalFilter Combo
View all broken equipmentStatus = Needs Repair
See what's checked inAvailability = Checked In
List all Customer EquipmentType = Customer Equipment
Identify trenchers at "Cadence Project"Label = Trencher + Project = Cadence
Review equipment assigned to no projectAvailability = Available + No Project filter

🧠 Pro Tip: Combine Filters

Filters can be stacked to get highly specific results. For example:

  • Status = Active
  • Type = Excavator
  • Label = Rental

This would show all active excavators that are rentals.
