📄 Using Labels to Organize Data in Ontraccr
Labels in Ontraccr are lightweight, flexible tags that help you organize, filter, and sort various types of data—especially when you’re working with large datasets across users, equipment, vendors, and more.
🧭 Where to Access Labels
- Go to Settings.
- Click Labels.
🧰 What You Can Label
You can create and apply labels to:
Category | Example Use Cases |
---|---|
Users | Trades, Certification Levels, Union Status |
Equipment | Owned vs. Rented, Type, Maintenance Status |
Gantt | Task Type, Department Ownership |
Client Labels | Industry Type, Account Tier |
Vendor Labels | Specialty, Prequalified Vendors |
Invoice Statuses | Custom stages like “Pending Review”, etc. |
🛠️ How to Create Labels
- Go to the Labels screen.
- Select the relevant profile section (e.g., Users, Equipment).
- Click Add (+).
- Type your label name (e.g., “Certified Welders”, “Rental Fleet”).
- Click Save.
Labels are now available for filtering and assigning.
🏷️ Applying Labels
Labels can be applied when:
- Creating or editing a profile (user, equipment, etc.)
- Using filters in search or scheduling views
For example:
- When filtering a user list to assign shifts, you can select all users tagged with “Night Shift Certified”
- In equipment tracking, you can filter for all assets labeled “Needs Inspection”
💡 Real-World Example
Let’s say you manage a large equipment fleet:
- Create labels like:
- Service Due
- Winterized
- Assigned to Project X
These help you quickly filter and act without manually sorting or searching by name.
✅ Tips and Edge Cases
- Labels Are Freely Editable: You can add or delete them at any time.
- Label Names Should Be Consistent: Use naming conventions to avoid duplicates or ambiguity.
- Cross-System Use: Labels can be used across multiple modules (e.g., user labels used in scheduling and permissions).
