📄 Assigned Form Display Settings: Show Key Info in the Log Without Opening Forms

In Ontraccr, you can configure which fields appear in the assigned or approval logs—so users can quickly preview key form info without opening each one. This saves time and improves clarity across teams handling high volumes of forms.

👀 What Are Assigned Form Display Settings?

These settings let you choose which fields from your form will show up in:

  • The Assigned tab (for users assigned to a form)
  • The Approval log (for users who need to approve it)

This gives users high-level insight into the form at a glance.

🛠 How to Configure Assigned Display Fields

  1. Go to Forms → Templates
  2. Create or edit a form
  3. In Step 1: Details, scroll to Assigned/Approved Form Display
  4. Click Add Field +
  5. Use the dropdown menu to select fields from your form
  6. Click Save after each selection
  7. Repeat steps 4-6 to add multiple fields

You can choose multiple fields to show in the log.

📥 What the User Sees

When a form is:

  • Assigned to someone → They’ll see the selected fields directly in the Assigned tab
  • Sent for approval → Approvers will see those fields in the Approval tab

No need to open the form unless they need to take action.

🧠 Use Case Examples

💡 Tips & Best Practices

  • Choose high-signal fields (project, status, flags—not long answers)
  • Keep it to 2–3 fields max to avoid cluttering the log

⚠️ Important Notes

  • Fields must already exist in your form before they can be selected here
  • Works best when fields are either pre-filled, required, or consistently used
