👤 Workflow: Create a Card When a User Is Created in Ontraccr

Overview

This workflow creates a board card automatically when a new user is added to Ontraccr. It’s commonly used in HR onboarding boards, where every new employee needs a set of onboarding steps, documentation, or compliance tracking.

🎯 When to Use This Workflow

Use this when:

  • You want to automatically launch onboarding for each new hire
  • You’re managing HR, IT, or training checklists via a board
  • You need to track internal user journeys from hire to deployment
  • You want to standardize and automate employee ramp-up

🧩 How to Set It Up

  1. Open the HR or onboarding board.
  2. Go to Settings > Workflows.
  3. Click the ➕ Add button.
  4. Configure the workflow as follows:

🔧 Setup Fields

FieldDescription
NameGive it a clear name (e.g., “Auto-create onboarding card”)
TypeSelect: Create a card when a user is created
Initial StatusChoose the column to start with (e.g., “Orientation Scheduled”)
Initial Color(Optional) Choose a color for easy visibility
MappingSelect what user details should populate into the card

🔁 Field Mapping Options

You can map any user field into the card, such as:

  • Full Name → Card Title (🟢 Required)
  • Email, Phone
  • Department, Role, Location
  • Start Date
  • Assigned Manager

✅ Example Use Case

  • When HR adds a new employee in Ontraccr, a card is auto-created in the HR Onboarding board
  • The card includes:
    • Full Name as title
    • Email and Role in fields
    • Assigned to HR rep
    • Placed in “Orientation Scheduled” column

This ensures onboarding starts automatically, with no need to manually create tracking cards.

🧠 Tips & Edge Cases

  • This is ideal for large or fast-growing teams with frequent new hires
  • Combine with task automations to launch required onboarding steps (e.g., safety forms, welcome kits)
  • If a user is re-added or reactivated, the card may not trigger again — this is a first-time event
  • Use card assignment to route new users to HR, IT, or department leads
