Address-Based User Sorting: How to Assign Users by Proximity to Job Sites
📍 Address-Based User Sorting: Assign Users by Proximity to Job Sites
📘 Article Purpose
This guide explains how Ontraccr automatically sorts users by distance to the project address when assigning shifts, and how to enable and use this feature effectively.
🚗 What Is Address-Based User Sorting?
When assigning users to a shift, Ontraccr can show how far each person is from the job site.
This makes it easy to:
- Reduce travel time
- Improve efficiency
- Prioritize local team members
📌 The system shows distance in kilometers, and automatically sorts users from closest to farthest.
🧱 How to Enable It
You’ll need to complete two steps:
Step 1: Add Project Address
- Make sure your Project has an address set.
- You can do this under the Projects tab.
Step 2: Add User Addresses
- Go to Staff > Manage Users
- Click Edit on a user profile
- Check the "Add Address" box
- Enter the user’s home or base location
📥 Using the Feature in the Shift Slider
When creating or editing a shift:
- Select a Project with an address
- Go to Assigned Users
- On the left of each user’s name, you’ll see a distance (km) indicator
- Users with saved addresses will appear at the top, sorted by closeness
🔍 What If a User Has No Address?
- They will still appear in the list, but without a distance
- They are listed after all users with valid address distances
🧠 Best Use Cases
- Service Dispatch: Send the nearest tech to urgent calls
- Same-day Scheduling: Reduce last-minute commute issues
- Job Cost Optimization: Minimize travel reimbursements
🔐 Privacy Note
Address sorting does not expose full addresses to other users—it’s only used for dispatching logic visible to admins or dispatchers.
