This article explains how to use the User Schedule tool in Ontraccr’s Field Schedule to quickly view each employee’s workload and assign shifts accordingly.
🔍 What Is the User Schedule Tool?
The User Schedule tool helps you:
- See how many shifts each user has for a specific date or range
- Identify who is overbooked or under-utilized
- Assign the right person to a shift with just one click
🧭 Where to Find It
There are two places to access the User Schedule tool:
1. Inside the Shift Slider
- Located above the Assigned Users section
- Shows availability for the selected shift date
2. On the Main Field Schedule Page
- Found next to the + Add button at the top-right
- Shows user scheduling across the entire visible date range
📆 How It Works
When you open the User Schedule:
- A side panel appears listing all users
- For each user, it shows:
- How many shifts they’re scheduled for in the selected period
- Which shifts (if any) they’re working
- Click on a user’s name to add them to the current shift
✅ Use Case: Balanced Scheduling
“I want to find someone with no shifts on Friday.”
- Open the shift slider for that date
- Click User Schedule
- Scan for users with 0 shifts
- Click a user’s name to assign them

- Combine the User Schedule tool with labels to filter by skill (e.g., electricians)
- Use with address-based proximity sorting to find the best fit by location and availability
- Pair with Expected User Groups to ensure you meet shift requirements
