Every organization has unique data they need to track for their employees — beyond the default fields like name, role, or wage. That’s why Ontraccr allows you to configure custom fields in user profiles using the same flexible builder used for forms and boards.
This article explains how to create custom fields for user profiles, what types of fields are supported, and where they show up once configured.
🎯 What Are Custom Fields?
Custom fields let you collect additional data points about your users that aren't included in Ontraccr’s default user profile layout.
Examples include:
- Social Insurance Number (SIN)
- Driver’s License Number
- Start Date or End Date
- Emergency Contact
- Department Code
These fields become part of every user profile, both existing and new.
🛠️ How to Add Custom Fields to User Profiles
- Go to Settings > Customization > Custom Fields.
- At the top, click the dropdown (defaults to “Cost Codes”).
- Select Users from the dropdown menu.
- Click Add Section and give it a name (e.g., “Additional Info”).
- Click Add Field inside that section.
- Choose the field type:
- Text input
- Dropdown menu
- Checkbox
- Date picker
- Numeric field, etc.
- Choose whether the field is optional or mandatory.
- Click Save.
Your custom section and fields will now be available across all user profiles.
📍 Where Custom Fields Appear
Once added, the custom fields appear:
- At the bottom of the Add User and Edit User pages
- In the General Info tab when viewing a user’s profile
These fields apply retroactively — meaning even existing users will now show the new section.
🧠 You don’t need to re-create profiles for the fields to appear.

🔐 Permissions & Visibility
Custom fields are:
- Visible to anyone who can view the user profile (there are no field-level visibility restrictions)
- Editable by users with permission to edit user profiles
- Part of the General Info tab when viewing a profile
⚠️ There is no way to restrict visibility of individual custom fields from users with profile access.
