In Ontraccr, Equipment Statuses help you define the operational state of your assets—whether they’re active, out for repair, or decommissioned. These are required for saving equipment profiles and play a key role in asset management workflows.


🧭 Where to Access Equipment Statuses

  1. Go to Settings.
  2. Click Labels.
  3. Scroll to the Statuses section.
  4. Select Equipment Statuses.

🚦 What Equipment Statuses Are

Statuses are distinct from general-purpose labels. They are:

  • Required to save any equipment profile
  • Used to track the lifecycle or availability of equipment
  • Displayed prominently on equipment records

🛠️ How to Add or Edit Equipment Statuses

  1. In the Equipment Statuses section, click Add (+).
  2. Enter the status name (e.g., “Active”, “Out of Service”, “Needs Repair”).
  3. Click Save.
  4. To edit an existing status, use the Edit (✏️) icon beside it.

Default Recommendations

The transcript suggests starting with these three statuses:

  • Active
  • Inactive
  • Needs Repair

These cover most basic operational states. You can create more granular ones if needed (e.g., “Deployed”, “In Transit”, “Awaiting Inspection”).


🔄 Applying Statuses

When creating or editing an equipment profile:

  • You’ll be required to select a status before saving
  • This status appears on the profile and is used in filtering

Statuses can be changed anytime as asset conditions evolve.

A field technician discovers a generator is leaking oil:

  • They edit the equipment profile and change status from Active to Needs Repair
  • Supervisors can now filter all equipment with that status to dispatch maintenance

Tips and Edge Cases

  • No Status = Can’t Save: Always define at least one status before entering equipment data
  • One Status per Asset: Unlike labels, equipment can only have one active status at a time
  • Statuses ≠ Labels: Don’t confuse them—statuses are about state, labels are about categorization
