Overview
With Ontraccr’s inventory tracking tools, you can monitor how much of each material is available across multiple locations, allocate stock to jobs, and receive alerts when stock runs low. This article walks through how to enable and configure inventory tracking features for individual materials.
📋 When to Use Inventory Tracking
Inventory tracking is optional and should be used if:
- You need to monitor quantities of stocked materials.
- You want to allocate materials to jobs or vehicles.
- You need low-stock alerts for reordering.
📌 Tip: Skip this section when tracking one-off or custom-ordered materials.
🛠 How to Enable Inventory Tracking
- Go to the Materials Page and click Add Material or open an existing item.
- Scroll to the bottom of the form — the Inventory section starts at:
- Threshold
- Quantity
- Allocated
- Locations
📉 Set Quantity Threshold (Low Stock Alert)
- Threshold = the minimum stock level before reorder notification.
- Example: If threshold =

, an alert will be triggered once available quantity drops to10
or below. - Who gets notified? Ontraccr will email all admins on the account.
📌 Use Case: Reorder fasteners automatically once stock is low on-site or in trucks.
📍 Track Quantity by Location
- In the Locations section, click Add.
- Choose or create a location (e.g., “Warehouse A,” “Truck 2”).
- Enter the quantity on hand for each location.
The system will automatically calculate:
- Total quantity
- Quantity allocated
- Quantity available
📌 Allocated materials are reserved for jobs but not yet consumed.
🔄 Allocation Example
Imagine you have:
- 20 total units at Warehouse A
- 5 allocated to an upcoming work order
- → Your available quantity = 15
📌 Allocation does not reduce the inventory immediately, but reserves it for upcoming use.
✅ Best Practices
- Review and update quantities regularly via:
- Forms with inventory updates
- Manual edits in the material view
- Use consistent naming for locations (e.g., “Truck-01,” “Main Yard”).
