📄 Creating and Managing Board Templates in Ontraccr

Ontraccr’s Board Templates allow you to prebuild commonly used project boards (like RFIs, Submittals, or Punch Lists) so that teams can spin up standardized boards in just a few clicks—no need to start from scratch each time.

🧭 Where to Access Board Template Customization

  1. Navigate to Settings.
  2. Click on Customization.
  3. Select Boards from the customization menu.

🧰 What Board Templates Include

Each template can define:

  • Board name (e.g., “RFI Tracker”)
  • Column structure (e.g., Submitted → In Review → Responded → Closed)
  • Default field layout or card design (if your boards are customized)

🛠️ How to Create a Board Template

  1. In the Boards customization screen, click Add (+).
  2. Enter the template name (e.g., “Deficiency Log”).
  3. Set up your board:
    • Create the default columns (e.g., Open, In Progress, Resolved).
    • Optionally, define default custom fields or card layouts if enabled in your workspace.
  4. Click Save to store the template.

✏️ Editing Board Templates

  • From the Boards customization screen, click Edit beside any existing template.
  • You can update column names, reorder stages, or adjust any fields.

💡 Real-World Example

Let’s say you use an RFI board on every project:

  • Create a template called “Standard RFI Process” with columns like:
    • Submitted
    • Under Review
    • Approved
    • Closed

This template can now be applied to all new projects in seconds—no manual setup needed.

Tips and Edge Cases

  • One Template per Board Type: Use descriptive naming to distinguish templates (e.g., “QA Checklist Board” vs. “Close-Out Checklist”).
  • Template Management: Remove old templates you no longer use to keep the list clean.
  • Card Layouts: If your system has customized card fields, ensure these are included during template creation.
