Once a user has been created in Ontraccr, their profile can be updated at any time. Whether it’s correcting contact details, changing their role, or resetting a password, editing user profiles is a straightforward process. This guide walks through every editable field, how to reset credentials, and key security behaviors to be aware of.


🛠️ How to Edit a User Profile

  1. Go to Staff > Manage Users.
  2. Locate the user and click the Edit button.
  3. The full user profile form will open — identical to the Add User form.
  4. Make your changes.
  5. Click Submit to save.

🖊️ Editable Fields

All fields entered during user creation are fully editable, including:

  • Name
  • Division
  • Email
  • Phone Number
  • Union / Locale / Classification
  • Employee ID
  • Hourly Wage
  • Position (Role)
  • 4-Digit PIN
  • Labels
  • Teams
  • Projects
  • Notes
  • Assigned color
  • Files

Custom fields (if configured under Settings > Customization) are also editable.


🔐 Resetting a User’s Password

To reset a password:

  1. Click Edit on the user.
  2. Scroll to the Password and Confirm Password fields.
  3. Enter the new password twice.
  4. Click Submit.

⚠️ Important:

Once saved, you will not be able to view the password again. Make sure to note it down and communicate it to the employee securely.


🧠 Use Case Example

If an employee says they’ve forgotten their password:

  • Go to their profile.
  • Manually reset the password as above.
  • Message them the new password offline (e.g., via SMS or email).

🔄 Changing User Role (Position)

You can change the user's role (called “Position”) at any time:

  • Edit the user profile
  • Select a new role under the Position field
  • Submit the form

🧩 Reminder: Role determines what the user can see or do.

Make sure the new role has appropriate permissions configured under Settings > Roles and Permissions.


🔄 Editing Wage and Visibility

  • The Hourly Wage field is editable by admins or managers with the Manage User Wage permission.
  • Viewing this field requires the View User Wage permission.
  • If these permissions aren’t enabled, the wage section won’t appear in the edit form.
