Setting Up Project File Templates in Ontraccr

📄 Setting Up Project File Templates in Ontraccr

Project File Templates allow you to predefine folder structures that are automatically added to new projects—eliminating the need to manually recreate folders each time. This keeps your document management consistent and organized across all jobs.

🧭 Where to Access Project File Templates

  1. Go to Settings.
  2. Click Customization.
  3. Select Project Files from the customization menu.

📁 What You Can Customize

Each Project File Template defines:

  • Folder names (e.g., Drawings, Permits, RFIs, Photos)
  • Folder structure (flat or nested folders)
  • Which templates apply to which types of projects (manual selection at creation)

🛠️ How to Create a Project File Template

  1. In the Project Files section, click Add (+).
  2. Enter a template name (e.g., “Commercial Project Folder Structure”).
  3. Add folders to the template:
    • Example: Site Plans, Contracts, Inspections
  4. Arrange folders as needed.
  5. Save the template.

🧪 Applying Templates to Projects

  • During project setup (or after), you’ll be able to apply one or more Project File Templates.
  • Ontraccr will automatically create the specified folders in the project’s file tab.
  • You can choose different templates depending on the project’s scope or customer.

💡 Real-World Example

If your company always uses a standard set of folders on commercial jobs:

  • Create a template called “Commercial Default Folders” with:
    • Drawings
    • Submittals
    • Permits
    • Change Orders

This eliminates repetitive folder creation and ensures consistency across teams.

Tips and Edge Cases

  • Multiple Templates Per Project: You can apply more than one template if needed.
  • Manual Override: You can still manually add or delete folders after a template is applied.
  • Use Naming Conventions: Use template names that clearly indicate the type of project or folder structure they support.
